Program Support Assistant is located in the Surgery Department of Veterans Affairs , Veterans Health Administration (VHA), Veterans Integrated Service Network 7 , Ralph H. Johnson VA Medical Center, Surgery Service, Charleston SC. RHJ VAMC is affiliated with the Medical University of South Carolina(MUSC). The Program Support Assistant is the focal point of the support staff for Surgical Service and maintains programs that support local, regional and national directives, missions, and goals.

Duties

The Surgery Service Program Support Assistant works under the direct supervision of the Administrative Officer who provides broad administrative direction and outlines general objectives, priorities and mission concepts. The incumbent's program responsibilities extend to all the various subspecialties including, but not limited to Cardiothoracic Surgery, Neurosurgery, GYN, Orthopedics, Plastics, Audiology, ENT, Speech Pathology, Urology, Podiatry, General Surgery, as well as the activities of the Office of the Chief of Surgery. There are training affiliations and trainees rotating on a yearly basis. The Program Support Assistant provides direct program assistance to the Administrative Officer and support to the various section chiefs and supervisors assigned to Surgery Service. Works independently with providers to manage all aspects of specialty care consults and uphold clinical documentation standards. Develops workflow charts and graphs. Implements methods to improve accuracy, adequacy or timeliness of information, and systems for disseminating information to supervisors and section chiefs as well as the Chief of Surgery. Responsible for working closely with the other administrative support staff in the Chief of Surgery's office and other program support staff. Performs work related to short- and long-term program goals. Responsible for being proficient in the use of data retrieval systems, i.e., VSSC, CPRS, VSE, VISTA, Pyramid and other systems as they become available. These systems will be used in the performance of other duties assigned related to provider profiling, physician productivity and performance improvement. This position works closely with the professional and technical staff and support services and assists the Administrative Officer in proposal development for equipment procurement, prioritizing the service's needs, and preparation of all required paperwork. Assists with monitoring Surgery Service assigned equipment inventory lists. Responsible for tracking and maintaining office supplies for use throughout Surgery Service. Completes, submits and monitors computer related and engineering work orders requests efforts. Knowledge of the VHA and Medical Center mission, operation, regulations and policies, as well application to medical center specialty care established guidelines. Knowledge of principles, practices, processes and techniques and ability to apply them to a health care delivery system and Broad knowledge of healthcare data systems, Electronic Health Records (EHR) and principles relating to these areas. Skilled in written and verbal communications. Ability to utilize MS Office Suite to develop and edit spreadsheets, documents and presentations to graphically display data. Knowledge and skill in applying analytical and evaluative methods concerning the efficiency and effectiveness of program operations and extensive knowledge of the requirements including knowledge of VISTA, CPRS and computer software. MS Office for patient and clinical information reporting which include systems to execute several office automations functions such as storing and retrieving electronic documents and files. Contacts will include patients, family members, Surgery Service staff, facility management, VISN officials, external review organization representatives, site visit teams, consultants, and other agencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/17/2024. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization.
