The Program Support Assistant Position is located within the Facility Support Directorate, in the Environmental Management Services (EMS), located at the Captain James A. Lovell Federal Health Care Center (FHCC), North Chicago, Illinois, The Lovell FHCC is larger than just a single facility, but rather a system of facilities throughout Northeastern Illinois and Wisconsin which provide medical and dental services to U.S. Military Veterans, Recruits, and Active Duty and eligible beneficiaries.
Duties

Duties include, but may not be limited to the following:
Receiving visitors and telephone calls to the office.
Maintaining calendar for appropriate staff and schedules appointments.
Performing office automation work which includes prepares meeting minutes, utilizing various hardware and software.
Following up on action items to ensure timely response.
Preparing forms, memorandums, reports, and other correspondence, ensuring proper grammar, spelling, and format.
Preparing and maintaining current guidelines and manuals pertinent to the department.
Serving as timekeeper for the service.
Maintaining office supplies and equipment.
Process and track requests, actions, reports for completion and compliance.

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/01/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For the GS-7 position you must have served 52 weeks at the GS-6. For the GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service.
A SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
GS-6 Grade Requirements:
Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Program Support Assistant, GS-6 position, and that is typically in or related to the work of this position.
Examples of Specialized Experience include: Gathering data, preparing reports, carrying out familiar assignments in accordance with previous instructions; Follows basic standard procedures for creating documents or entering/retrieving data and established use of software packages; Used judgement interpreting general guidelines to prepare reports; Make recommendations consistent with normal practices; Uses experience in solving problems and handling events or situations that do not happen daily; Providing technical advice and assistance on pay and leave and other general payroll matters; Provide general calendar maintenance, arrange meetings, and appointments, providing minutes and/or presentation material; Manage incoming and outgoing correspondence, reports, and memorandums. This experience must be detailed in your resume to receive credit.
GS-7 Grade Requirements:
Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-6) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Program Support Assistant, GS-7 position, and that is typically in or related to the work of this position.
Examples of Specialized Experience include: Maintain current knowledge of applicable technical procedures, policies, and directives; ability to independently answers questions of employees, supervisors, and other internal/external contacts/customers; Prepares correspondence of a confidential nature, reviews documentation for clarity, accuracy, and consistency; Management and use of Government Purchase Card Program and familiarity with acquisition regulations; Knowledge of purchasing/procurement procedures for supplies, equipment, services, to include inventory management, storage, and handling; Organization and maintenance of secure/non-secure files and records, to include control schedules, storage and disposal procedures; Technical use of office automation equipment, to include printers, scanners, modems, copiers and other associated hardware and peripherals; Advanced knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint, OneNote, Access, Teams). This experience must be detailed in your resume to receive credit.

Physical Requirements: The work is basically sedentary. However, there may be some walking; standing; bending; carrying of light items. No special physical demands are required to perform the work.
