The primary purpose of this position is to serve as an Administrative Assistant for the Division Chief and front office.
Duties
DU-0318-02: SECRETARY (OFFICE AUTOMATION)
Responsible for performing all administrative support for Division front office personnel, including filing, answering phones, maintaining supply stock, updating recall rosters, receiving Division mail, and updating Division distribution lists.
Provides status and follow-up to matters requiring attention.
Responsible for scheduling, planning, and executing division level events.
Manages the calendars of the Division Chief and Deputy, as well as conference room reservations when planning meetings.
Uses multiple office automation software with diverse functions to produce a wide range of documents.
Responsible for assisting employees, certifiers, and supervisors in creating and signing Defense Travel System authorizations and vouchers.

Qualifications
Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Group Coverage Qualification Standards for Clerical and Administrative Support Positions.

SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year, or will have one year within 120 days of closing of this announcement, specialized experience at the next lower grade, DU-01/GS-04, or equivalent in other pay systems. Examples of specialized experience include providing administrative support in an office setting, such as preparing, proofreading, or editing correspondence, scheduling appointments, greeting visitors, and answering phones.

OR
EDUCATION: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: You must submit a copy of official transcripts.
OR
COMBINATION OF EXPERIENCE AND EDUCATION: Equivalent combinations of successfully completed education past two years above high school and specialized experience directly related to the work of this position as outlined above that meets the requirements of the position. NOTE: You must submit a copy of official transcripts.

Communicates with co-workers and management officials in own organization in order to plan and coordinate work, communicateimportant concepts and requirements, or recommend solutions.
Effectively interacts with customers to understand their needs, answer questions, and provide routine information about products and/orservices.
Contributes as a member of the team performing substantive clerical/assistant/support duties in support of the organizational mission.
PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
