The position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the VA San Diego Health Care System in the Spinal Cord Injury and Disorders (SCI/D) Service. The primary purpose of the position is to serve as the Secretary to the Chief of SCI/D Service, and other staff within the SCI/D Service as needed.

Duties

Duties include, but may not be limited to the following: Responsible for supporting a variety of planning, coordination, and logistical activities for SCI/D Service, including the following: provides administrative assistance to the SCI/D Chief, Administrative Officer, and as needed, to other SCI/D professional staff. Screens calls and visitors to the Chief's office; when appropriate, refers important information (messages, memos, fax, etc.) to the Administrative Officer. Alerts the Chief and Administrative Officer of any requests for action or information from VHA, VISN, National SCI/D Director, and VASDHS leadership. Prepares documents with word processing and associated software; selecting the appropriate program for office needs including but not limited to: MS Excel, Access, PowerPoint, and Word. Utilizes methods of automating administrative reports and creates detailed charts and graphs. Produces final documents by formatting, and inputting data and statistics, editing reports, retrieving data, and transmitting these documents into data to the responsible parties. Personally, handles many requests for information and resolves or assists in resolving a variety of concerns made by patients, their families, staff, etc. Provides services appropriate to the age of the patients being served. Considers data reflective of the patient's status and interprets the information needed to identify each patient's requirements relative to their age-specific needs and to provide care needed as described in the service's policies and procedures. Diplomatically and tactfully directs all inquiries appropriately, assuring the confidentiality, privacy, and security of patients and staff to promote excellent public relations. Qualifications

SPECIALIZED EXPERIENCE: Applicants must possess at least one (1) year of specialized experience that equipped them with the particular knowledge, skills, and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-4 level in the Federal service. Specialized experience includes: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; timecard keeping; and maintaining files. OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE (Transcript Required): Successful completion of (4) years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. OR COMBINING EDUCATION AND EXPERIENCE (Transcript Required): Combination of successfully completed post high school education and experience may be used to meet total qualification requirements.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work requires no special physical demands. Primary work is done sitting down at the computer.
Some walking, standing, light carrying, and bending is required.
