This position is located at the Edward Hines Jr. VA, and is aligned under the program office of Clinical Informatics. The primary purpose of the position is to provide administrative, collaborative, & programmatic level support with all employees of the CI Section, in the formulation of projects, reports, strategic plans, resource utilization, needs assessments and assigned administrative activities to improve the efficiency, effectiveness and productivity of CI Section & delivered programs.

Duties

The primary purpose of the position is to provide administrative, collaborative, & programmatic level support with all other employees of the Clinical Informatics Service Line, in the formulation of projects, reports, strategic plans, resource utilization, needs assessments and assigned administrative activities to improve the efficiency, effectiveness and productivity of Clinical Informatics Service Line & delivered programs. The incumbent is actively involved in assisting with the day-to-day management including but not limited to providing a wide range of organizational and support activities and general assistance to the Clinical Informatics Program including but not limited to timekeeping, organizing and managing committees/meetings, creation/tracking of meeting minutes, and scheduling within the Clinical Informatics Service Line. Duties include, but not limited to: Provides administrative programmatic support for daily operations as assigned within the Health Informatics Service Line including but not limited to timekeeping, organizing and managing committees/meetings, creation/tracking of meeting minutes. Works closely with Clinical Informatics supervisors and staff to facilitate the procurement and maintenance of the necessary resources, e.g. space, equipment, staff, and supplies to ensure availability of Clinical Informatics services to facility stakeholders and veterans. Participates with the clinical informatics staff to assess data to identify, quantify and resolve organizational problems as it relates to the Clinical Informatics Service Line. Manages Equipment Inventory List (EIL), acts as Safety Officer, Records Liaison Officer, Travel Superuser, TMS Admin and any other role as assigned and deemed appropriate by supervisor. Participates in delivering training and educational programs to others within the service line as appropriate to knowledge and skill level. Prepares/monitors personnel record/request actions; establishes and maintains filing system for records related to employees. Serves as key person within service line for data management and production of useful reports on an array of issues such as workload trends, employee productivity and expenditures. Develops support tools, training guides, SOPs/policies etc. for service-wide use. Work Schedule: Monday through Friday, 7:30am to 4:00pm. Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/31/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge sufficient to recognize information relevant to efficient problem-solving and the ability to verify and correlate data to support studies and recommendations; Ability to research, collect, develop and consolidate data which support statistical and other types of analysis by higher-level specialists for use in the decision-making process; Working knowledge of various personal computer software such as word processing, graphics, spreadsheets, database management and communications, to create and/or manipulate spreadsheets/databases for various report, correspondence and document preparation; Knowledge of the use of fax, photocopier and other office equipment to support technical and administrative programmatic work of the office; Knowledge and skill of a qualified typist to facilitate prompt and efficient preparation of reports and documents; Knowledge of standard processing procedures, formats, distribution and retention policies for correspondence, presentations and reports produced. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. Manual dexterity is required in operation of personal computer and other office equipment.
