The incumbent serves as the Program Support Assistant for the Michael E. DeBakey VA Medical Center, Environmental Management Service Line. The incumbent works closely with the Administrative Officer, Service Chief, and Deputy Chief to run the day-to-day administrative activities required to maintain a clean and safe environment for the delivery of patient care. The incumbent has the critical task of being one of the first MEDVAMC personnel to interact with both internal and external customers.
Duties
Major Duties
Serve as the primary point of contact for all customer request that comes to the service.
Accept all customer request, resolve request for information, and input service work order request into the EMS Request LEAF
Manage the flow of work order from the time of input to resolution and closure.
Prepare and brief the service chief on the volume of work orders, the nature of work orders, the timeliness of resolution, the percentage resolution, and all other information related to service level work orders.
Communicate service recovery actions to patients or family members who have documented unfavorable reviews related to cleanliness during their stay or visit to the facility.
Conduct service recovery using service customer relations protocol based on management actions.
Maintaining data for the total number of discharged beds available for cleaning in the facility as reported in the Bed Management System.
Gather data on the timeliness of room turnover, the availability of cleaned beds for patient admission, and any EMSL related information relevant in making sure cleaned beds are made available for patient admission.
Tracking the number of available cleaned beds in the Automated Transport System (ATS) rooms, the number of beds awaiting repairs in the basement, and the number of beds ready from pick up from the point of repair to the ATS rooms.
Assist EMSL employees in key administrative task including (but not limited to) sponsoring employees for Personal Identity Verification (PIV) Badges, in-processing new employees (keys, uniforms, Keys, assignment), and managing pay issues.
Coordinate with contractors for space allocation, badging for contractors, setting appointments, and coordinating meeting for vendors, documenting, and reporting on new products and services.
Maintains contact with other VA program assistants/clerks and other key personnel throughout the MEDVAMC in order to stay knowledgeable of changes and to resolve delays and communication difficulties within service and care lines.
Conduct in-service trainings for other Care/Service Lines regarding the regulations governing sanitation and pest control in the Veteran Health Administration (VHA) system. This may also include mailing out information to nurses and providers.
Serves as backup timekeeper as needed to input timecard information to the VA Time & Attendance System (VATAS) for personnel assigned to the EMSL.
Responsible for corrected timecards, leave analysis, leave studies, man- hours, etc., for all EMSL employees.
In the absence of the primary timekeeper, the incumbent will assist front-line staff with timecard related questions and concerns.
Work Schedule: Monday - Friday; 8:00AM - 4:30PM (subject to change based on agency needs)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/01/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Collecting, entering, tracking, maintaining and controlling business papers; Filing and manipulating data from a database and being able to extract data to create various reports, and preparing various types of correspondence; Updating timekeeping system and utilize different types of software; Maintain and update various databases, and use various tracking systems.

Physical Requirements: The work is mostly sedentary requiring some walking, bending, and carrying of light items.
