The Lead Program Support Assistant position is located in the Inpatient Nursing Service (INS) of the Associate Director of Patient Care Services Office at the Michael E. DeBakey VA Medical Center in Houston, Texas.
Duties
Distributes and balances the workload among employees in accordance with established workflow or job specialization.
Ensures timely accomplishment of assignment and assures that employees have full workload.
Keeps in touch with the status and progress of work and makes day-to-day adjustments.
Provides on the job training to new employees.
Collects, compiles and/or tracks data and statistical information.
Receives and processes documents and reports.
Reviews documents and reports for completeness and enters pertinent information into an automated tracking system.
Performs database file searches and uses software applications to draw information to prepare/assist in preparation of reports.
Overseas completion of patient care encounters, clinical reports, progress notes, unsigned notes, and other patient care documentation.
Serves as the Automated Data Processing Application Coordinator.
Monitors and reports on time and attendance.
Maintains time and attendance.
Perform work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities.
Responsible for coordinating new hire activities for all personnel at the beginning of the each bi-weekly pay period.
Performs office automation duties using software applications such as electronic mail, desktop publishing, adobe, calendar, spreadsheet, database, and/or graphics.
Prepares IT requests for the Section for computer hardware, software, remote access, telephones, telemedicine equipment, equipment moves, etc.
Serves as point of contact for all issues relating to Personal Identity Verification (PIV) program and facilitates acquisition of required PIV documentation.
Prepares, composes, and reviews correspondence prepared for obtaining or supplying information.
Plans and establishes office control systems such as those for the control of the location arrangement, access to, and use of office files.
Monitors and controls business papers, correspondence and records.
Plans and coordinates a variety of general office support services such as requisition, purchase, storage, and maintenance of supplies, installation, repair, etc.
Arranges records for storage/reference, scheduled disposition, and retrieval.
Processes incoming and outgoing materials.
Edits and composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries.
Schedules appointment, coordinates meetings, and/or schedules conferences.
Maintain the appointment calendar, reminds supervisor/staff members of the subject matter prior to the meeting, and makes administrative arrangements as required.
Work Schedule: Monday - Friday, 6:00 am - 2:30 pm, 7:00 am - 3:30pm, 7:30 am - 4:00 pm, subject to change based on the needs of the Agency.
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/11/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Develop and install routines and accounting systems necessary to perform diagnostic reviews, create trend lines and develop recommendations for corrective actions to resolve complex issues before they escalate into financial crisis; Effectively communicate with staff members from a wide diversity in ethnic and educational backgrounds; Experience with Federal regulations, statutes, case law, Comptroller General Decisions, General Accounting Office requirements and local Station Memorandums, policies and procedures; Routinely apply concepts, laws, practices and principles associated with preparing and maintaining facility and departmental budgets and forecasts; Utilize operational and financial software to understand the interface issues and extract and analyze information needed to resolve complex problems with multiple alternatives in large, highly diversified facilities with multiple campuses in a very politically sensitive environment. Note: This experience must experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Physical Requirements: The work is generally sedentary although there may be some walking, bending or standing for short periods of time or carrying items such as files, papers, books, or audiovisual equipment. No special physical demands are required to perform the work.
