This position is located at the NIH Clinical Center (CC), National Institutes of Health (NIH), U.S. Department of Health and Human Services (HHS) in Bethesda, Maryland. The NIH Clinical Center is the largest hospital in the world totally dedicated to translational clinical research. The Clinical Center provides a full range of services from ambulatory clinical to critical care and special procedures.

Duties

The incumbent serves as a Program Support Assistant and as such, administratively supports Nursing Department educators and others in the implementation of planned educational and training initiatives; for example, Central Nursing Orientation, Program of Care role-based orientation, time-sensitive trainings in support of new policies and/or technologies. This is a developmental position leading to the full performance level of GS-7. MAJOR DUTIES Provides direct administrative, procedural, and informational resource assistance and support to program staff and/or managers by organizing, collecting, analyzing, and presenting information related to the current and future program or project workload. Assists with the coordination of program workflow and the coordination of various duties assigned to organization staff. Assembles information in order to compile and prepare reports and assists in the preparation of publications, orientation and training materials. Responds to inquiries concerning projects and activities. Researches information requested and provides that information as required, maintains status of projects, and follows up on actions. Conducts computer searches of program-related information. Receives and reviews all incoming correspondence and determines which staff member should handle the action. The incumbent develops and maintains an effective correspondence routing and tracking system to improve information flow and ensure that deadlines are met. Prepares correspondence, reports, graphs/charts, forms, and other office support materials using office automation equipment and appropriate software. Composes routine correspondence in own or supervisor's name. The incumbent may write and/or edit correspondence, and reviews correspondence for accuracy and completeness to ensure proper format, grammar, and adherence to established policy, and ensures that all attachments and materials are enclosed. Receives all visitors, emails and telephone calls for the Professional Development team. Maintains the Education calendar and schedule. Handles a wide variety of administrative duties which may include, but are not limited to, preparing requisitions for the purchase of office supplies and miscellaneous items as necessary.

Requirements

  • U.S. Citizenship requirement or proof of being a U.S. National must be met by closing date.
  • Employment is subject to the successful completion of the pre-appointment process (i.e., background investigation, verification of qualifications and job requirements, completion of onboarding forms, submission of required documents, etc.)
  • Males born after December 31, 1959 must be registered with the Selective Service.
  • Applicants must meet all qualifications requirements within thirty (30) calendar days of the closing date of this announcement, including time in grade.
  • This position is a Tier 2 designation position.

Qualifications

In order to qualify for a Program Support Assistant position at the GS-06 level, you must have 1 year of specialized experience equivalent to at least the GS-05 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: assisting with the coordination of program workflow and the coordination of various duties assigned to organization staff; receiving and reviewing incoming correspondence and determining which staff member should handle the action; scheduling various meetings and following up on assigned actions; and preparing correspondence, reports, graphs/charts, forms, and other office support materials using office automation equipment and appropriate software. In order to qualify for a Program Support Assistant position at the GS-07 level, you must have 1 year of specialized experience equivalent to at least the GS-06 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: organizing, collecting, and presenting information related to the current and future program/project workload; developing routine plans or schedules using standard references and existing information; composing routine correspondence in own or supervisor's name; providing quality assurance for all incoming and outgoing correspondence; and using software applications to prepare correspondence, reports, charts, and forms.
