About the Position: Serves as secretary to a division or office chief within the organization with responsibility for performing and coordinating all the clerical and day-to-day administrative support activities which are required to accomplish the work of the organization. This position is located in Aberdeen Proving Grounds, MD.
Duties
Screen visitors and telephone calls to determine course of action.
Review appointment calendar to advise management of scheduled appointments.
Resolve non-technical issues of both a general and specific nature.
Provide instructions to operating offices regarding current policies and/or procedural methods to be followed.
Utilize office automation software such as word processing/data base management to prepare a variety of correspondence, technical reports, briefings, tables, forms, and viewgraphs.
Coordinate travel arrangements such as arranging schedule of visits, transportation/hotel reservations and prepare travel orders/vouchers.
Utilize electronic mail to transmit and receive information.
Maintain transmittal tracking logs for organization.
Receive and review incoming correspondence to determine proper action.
Ensure requests for action or information are provided to authorized officials in absence of Supervisor.
Review outgoing correspondence and material prepared for Supervisor’s signature/approval.
Advise Supervisor/operating offices of established policies, procedures and methods governing miscellaneous clerical and administrative matters.
Maintain files and reference material for organization.
Provide accurate, timely information on procedures, reports, requirements, suspense’s, planned meetings, agendas, and other matters to implement policies and directives.
Notify personnel upon receipt of organization inspection notification.
Maintain suspense files on action documents.
Attend challenge training and be prepared to coordinate travel arrangements.
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
- This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Secret security clearance or access for the duration of employment.
- Appointment to this position is subject to a one-year probationary period unless the appointee has previously met the requirements as described in 5 CFR Part 315.

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized Experience: One year of specialized experience which includes (1) Maintaining Supervisor's calendar and coordinating travel arrangements (2) Maintaining office files and documents in accordance with organizations standards; and (3) Preparing a variety of correspondence, reports, briefings, and forms utilizing office automation software (e.g. Microsoft Office Word, Outlook, PowerPoint, Excel, etc.). This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).

Education: One full academic year of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Business Management or Business Administration. (Note: You must attach a copy of your transcripts.)
OR
Combination of Education and Experience: Specialized experience as described in A, but less than one year; and I have some graduate level education as described in B, but less than the required one year. I have computed the percentage of the requirements that I meet, and the total is at least 100% (To compute the percentage, divide your total months of qualifying experience by 12. Then, divide your semester hours of graduate education by 18. Add the two percentages. The total percentage must equal at least 100 percent to qualify.).
