This position is in the Office of the Chief of Quality Management, which is under the Director's Office at the VA Medical Center, Northport, NY.
Duties
Assists with the data collection for performance improvement monitors and compliance issues.
Assists all employees within the service with TMS, PIV, VATAS, ECAR, CPRS, VISTA and all computer-based systems required of the service.
Incumbent serves as the primary timekeeper for all employees in the service and is the ADPAC for the service.
The incumbent is responsible for all office management functions including typing, word processing, and use of the Excel program, receptionist duties, filing and report generation.
The incumbent is the primary clerical support for the Chief of Quality Management and Quality Management staff.
Support the Patent Safety Manager (PSM), Accreditation RN Specialist, and other QM Staff with scheduling meetings, running reports, and manages all the follow up activities for Center Memorandums for the QM Department.
Analyzes workflow for clinical staff in the clinic to determine potential problem areas and makes recommendations to correct these areas and to improve coordination between the various units.
Establishes and maintains logs/spread sheets showing status of actions to ensure that reports are completed within required timeframes.
Monitors and advises supervisors within QM regarding the 5 Tier Performance Appraisal System, Annual Competencies and Initial Competencies for new employees.
Prepare and assist QM Chief for QSV Council Meeting by the following: schedule monthly meetings; collect reports from presenters; upload previous months reports onto the Share Point; organize reports according to agenda; record and transcribe minutes for draft; prepares final minutes for signature; and distribute to members of the council for approval.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/22/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of Medical Center policies, goals and priorities is required in order to be effective in accomplishing the responsibilities associated with the level of professionalism of the Service. The ability to effectively coordinate the work of the office with other services is essential. Independently plans, distributes, coordinates, and implements the daily/weekly/monthly work schedules for the position and the Chief of Quality Management Office.
