This position is located within the Office of the Associate Director of the VA Northern California Health Care System, in Martinez, California responsible for performing a variety of clerical, administrative and secretarial support to the Associate Director.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Plans and coordinates work of the office and resolves issues that arise; Ensures the smooth flow of correspondence, conference arrangements and completed action items; Provides guidance to service Secretaries and administrative personnel; Maintains subject matter files and records that relate to the work of the unit; Receives visitors and telephone calls and determines the nature of request to independently handle the request or direct to the appropriate staff; Responds to inquiries and administrative problems; Notifies appropriate staff of need for information and follows up to ensure timely response by others; Exercises control over the Associate Director's calendar/appointments (schedules appointments checks availability, confirms/reschedules appointments, etc.); Receives incoming correspondence ensuring grammatical and procedural correctness; Screens material prior to distribution for suspense dates and follow ups; Makes extensive travel arrangements; Coordinates visits of VIP and Officials ensuring that no breach of etiquette or protocol develops; Performs timekeeping including maintaining leave and attendance records; Perform office automation work on a computer utilizing multiple programs to complete documentation; Performs other directly related duties as assigned. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. In addition to the typing proficiency, all applicants must meet one of the following: To qualify for this position at the GS-7 level, you must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-6) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties and that is typically in or related to the work of this position? Specialized experience includes performing administrative support functions such as tracking data and statistical information; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing office automation software and maintaining files; receiving visitors and telephone calls to the office. Applicants must have excellent written and verbal communication skills. NOTE: Applicants wishing to receive credit for such experience must clearly indicate the nature of their duties and responsibilities in each position, start and ending dates (month and year) of employment, and the number of hours a week spent in such employment. To qualify for this position at the GS-8 level, you must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-7) in the federal service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of this position, and that is typically in or related to the position to be filled? Specialized experience includes providing administrative support to an organization and performing a variety of clerical and administrative duties; drafting a range of communication/correspondence; scheduling appointments and meetings; coordinating travel and conference schedules; serving as a liaison with management and support staff; and utilizing office automation software such as Microsoft Office (Word, Excel, and PowerPoint). Applicants must have excellent written and verbal communication skills and must possess excellent organizational skills. NOTE: Applicants wishing to receive credit for such experience must clearly indicate the nature of their duties and responsibilities in each position. Physical Requirements: The work is primarily sedentary, however may include some walking, standing, bending, and carrying of light items such as papers and books. No special physical demands are required to perform the work. The work is performed in an office setting that is adequately heated, lighted and ventilated.
