The incumbent serves as a program support assistant to the Medical Service Office and may be assigned additionally to any of the service's section ( Cardiology, Endocrinology, Gastroenterology, Hematology/Oncology, infectious disease, Palliative care or general internal medicine to perform section-specific responsibilities and tasks in either a primary or back-up capacity. Training in any new assignments will be provided.
Duties
Prepares personnel action forms tor appointment, promouons
and terminations and appointmenUreappointm_ent credentialing/privileging packages for physicians
and house staff. Initiates key/ID requests and other actions necessary to process hew/rotating
house staff. Issues terminating staff clearance of duty station forms and instructions regarding
clearance procedures .
For assigned areas, orders patient care and/or ott1ce supplies,
using appropriate purchasing method, such as purchase card or lFCAP requisition. Maintains orderly
records of purchase orders and receipts. Reconciles purchase card orders on a timely basis (within
five days of charge) and takes independent action to resolve problems with vendors to reconcile or
otherwise close
out incomplete purchase orders. Keeps fund control official informed of
any major or recurring problems with vendors or purchasing process. As requested, provides
administrative support to assist in budget analyses.
Travel arrangements for physician staff, submitting all necessary
documentation prior to and following travel assignments to appropriate units.
Understands the functions and procedures to backup the Resident Program Coordinator: incumbent
may be expected to assist initial resident processes, scheduling of resident related events and
meetings, and other support needs of Residents.
Assists the Medical Service administration by preparing and maintaining, electronic
training logs and records. The incumbent independently gathers data and makes recommendations
pertaining to the objectives, priorities, and deadlines assigned by Medical Service leadership.
Coordinates and confirms room assignments for training sessions; works with maintaining CME records
for attending and house staff.
Receives and screens telephone calls and visitors, refers callers to appropriate
individuals or services. Personally handles administrative inquiries that do not require the
attention of the professional staff.
Composes correspondence, reports, memoranda, minutes, and other
documents. Independently formulates worksheets suitable for input of specific data. Can develop
from rough data tables, graphs and charts using
a variety of computer software, resulting in a clear presentation of information.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/04/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: knowledge of understanding credentialing and privileging process including but not limited to the tracking of CME credits; knowledge and understanding of all clinics with respect to consults, encounters, and clinic operations; knowledge of the requirements and regulations involved in the resident training programs and of the various specialty fellowship training programs, including the responsibilities of the resident program coordinator; knowledge of duties and priorities, policies and program goals of the Medical Center .
