The Department of Agriculture's Office of the General Counsel (OGC) provides legal services to all the agencies within the United States Department of Agriculture.
The incumbent serves as an Administrative Support Assistant, responsible for performing a variety of administrative, clerical and records liaison duties which are essential to the office. Independently plans, manages, develops, and controls a wide variety of administrative services necessary for day-to-day operations.
Duties
Administrative responsibilities including: answering phone calls; managing physical and electronic mail; administering electronic systems for travel, purchasing, new matter intake, case management, records management, and training.
Administrative responsibilities including: coordinating video and telephonic conference; room reservations; copying, scanning, filing, library updating, and other administrative and clerical responsibilities.
Assistance with personnel management including: time and attendance system management; preparing documents for promotions and within grade increases; recruitment, onboarding and departures of employees and interns; performance reviews and awards.
Budget and reporting responsibilities, including maintaining budget and expenditure reports, providing updates to management, and completing monthly reporting requirements.
Coordinating and ensuring proper authentication of documents.
Requirements

Qualifications
Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including time-in-grade restrictions, and specialized experience and/or education, as defined below.
TIME-IN-GRADE REQUIREMENTS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-07 is required to meet the time-in-grade requirements for the GS-08 level. (Must submit your non-award SF-50 that shows Time-in-Grade eligibility and reflects your title, series, and grade.)
MINIMUM QUALIFICATIONS: To be considered minimally qualified for this position, you must demonstrate that you have the required specialized experience and/or education for the respective grade level in which you are applying:
One year of specialized experience, equivalent to the GS-07 level in the Federal service or equivalent responsibility in the private sector/pay systems which demonstrates a minimum of 5 of the 7 following competencies/knowledge to successfully perform as an Administrative Support Assistant. Specialized experience is defined as considerable experience with:
Entering information into various computer systems, managing databases, and producing reports;
Performing word processing, mailing, faxing, copying, filing, and other administrative and clerical duties;
Using various computer software, including Adobe Acrobat and Microsoft Office Suite;
Providing support and training to staff on use of various computer applications and technology;
Maintaining records, i.e. time and attendance, travel, budget, purchasing, personnel, workload, and other reporting systems;
Knowledge of various filing systems and databases used for office records management;
Knowledge of how to proofread and format complex documents in various word processing systems to include spelling, grammar, punctuation, and distribution of final documents.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
