This position resides in the Defender Services Office (DSO). DSO administers the federal appointed counsel program consisting of federal defender organizations and private panel attorneys to ensure that the right to counsel guaranteed by the Sixth Amendment, the Criminal Justice Act (CJA), and other statutory mandates are enforced on behalf of those who cannot afford to retain counsel and other necessary defense services.

Duties

By fulfilling its mission, the Defender Services program helps to (a) maintain public confidence in the nation's commitment to equal justice under law and (b) ensure the successful operation of the constitutionally based adversary system of justice by which both federal criminal laws and federally guaranteed rights are enforced. The incumbent of this position will serve as a Training Support Assistant (Meeting Coordinator) for the Administrative Operations Staff and will provide day-to-day oversight, coordination, and administration for various conference -related processes. The incumbent will support a wide variety of defender, defender staff and CJA panel in-person and virtual meetings and conferences. Highly motivated candidates who are willing to learn, diligent, and possess strong communication skills will thrive in this position. Prior experience supporting meetings, national conferences, and/or using a variety of software, online registration systems, virtual learning platforms, audio visual equipment, and other related equipment, is highly desired. Duties include, but are not limited to: Providing day-to-day oversight, coordination, and administration for various meetings and conference-related processes. Publicizing conferences, including creating on-line registration websites and communicating announcements to targeted participants. Providing on-site support to staff who plan meetings and conferences. Monitoring registration, tracking hotel room pick up, and preparing final attendance reports at the conclusion of the meeting or conference. Gathering, coordinating, packing, shipping, setting up, and distributing audio visual equipment and materials. Answering orally or in writing, inquiries from potential conference attendees and redirecting them to other staff members when necessary. Managing office mail distribution; receiving, screening, and routing telephone calls. Greeting visitors and conference attendees. Organizing and maintaining office files, records, and directories. Maintaining verbal and/or written communications with all levels of staff and the Criminal Justice Act community. Performing special projects/tasks upon request.

Qualifications

Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions. Specialized Experience: Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience is experience which demonstrates the ability to perform meeting coordination tasks in support of large conferences and/or meetings. This includes all of the following: making arrangements for conferences and/or meetings; drafting and formatting documents associated with conferences and/or meetings; managing conference and/or meeting registration; communicating with conference and/or meeting attendees; and assisting with the management of on-site logistics.
