The Department of Justice, Criminal Division investigates and prosecutes complex criminal matters and assists the United States Attorney's Offices in investigations, trials, and appeals. Office Support Assistants provide general administrative support to the 17 Sections and Offices comprising the Criminal Division. Candidates may be selected for any one of the 17 Sections or Offices.

Duties

As an Office Support Assistant, you will perform a variety of critical day-to-day administrative and clerical tasks including: Executive Support and Schedule Management: Assist executive-level personnel. Manage electronic calendars with complete authority for commitment of time. Make final decisions on appointments and conferences in accordance with their schedule. Anticipates needs for executive personnel, including in advance of important meetings and events. Special Projects: Assist with special projects, some highly visible, including research assignments, the development of presentations and meeting materials, and logistics coordination for meetings, hearings, etc. Correspondence, Files, and Reports: Draft correspondence and respond directly to incoming correspondence, as assigned, or route to the appropriate individual. Ensure proper grammar and adherence to style requirements for a variety of documents, including congressional correspondence, reports, and memoranda. Travel Support: Compile travel paperwork for executive level officials and employees, and assist in arranging travel, including transportation and accommodations. Facility Services, Property, and Supply Administration: Assist in the purchase of office supplies and equipment. Assist with office moves and setting up office space for new employees, including assigning and issuing computers, telephones, cell phones, and office furniture. Assist with arranging telephone moves and repairs as well as repairs of office equipment. Human Resources Administration: Assist with or perform timekeeper duties. Assist with leave audits. File and distribute copies of documents and forms in accordance with all federal, Department, and Division requirements. Procurement and Contracting: Assist with the processing and filing of contracts, Statements of Work, purchase order requests, purchase card requests, and approval of forms. Training Administration: Receive training forms and records and route to the appropriate party and file. Unit Reception and Telephone Support: Greet visitors to the office; respond to telephone calls or refer to the proper individual, as appropriate. Qualifications

To qualify at the GS-03 grade level, applicants must have completed one (1) full academic year of post-high school study; OR have six (6) months of general experience to include: progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled; OR have a combination of education and experience: equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. To qualify at the GS-04 grade level, applicants must have completed two (2) full academic years of post-high school study or an associate's degree; OR have one (1) year of general experience to include: progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled; OR have a combination of education and experience: equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. To qualify at the GS-05 grade level, applicants must have competed four (4) academic years of post-high school study leading to a bachelor's degree or equivalent degree; OR have one (1) year of specialized experience at, or equivalent to, the GS-04 grade level. Examples of specialized experience include: performing complex office automation duties requiring different approaches and methods from assignment to assignment, using word processing software, producing a variety of materials such as spreadsheets, plans, procedures, memoranda, letters, travel requests, and/or presentations from rough drafts, performing a variety of recordkeeping, reporting and information duties with regard to the unit assigned, and sorting and arranging material for filing and filing material in the proscribed manner; OR have a combination of education and experience: equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. To qualify at the GS-06 grade level, applicants must have one (1) year of specialized experience at, or equivalent to, the GS-05 grade level. This experience must include duties such as: providing office automation support including producing charts, updating databases, or preparing presentation materials; drafting and routing correspondence and filing copies in accordance with established procedures; escorting visitors and responding to telephone calls; and assisting the supervisor in carrying out various special projects. To qualify at the GS-07 grade level, applicants must have one (1) year of specialized experience at, or equivalent to, the GS-06 grade level. This experience must include duties such as: drafting and routing correspondence; assisting with the purchase of office supplies and equipment; assisting the supervisor in carrying out various special projects; and arranging travel and preparing travel vouchers and authorizations. Combination of Education and Experience - Your current education completed is credited as a percentage of the education required for the grade level and your current experience is credited as a percentage of the total experience required for the grade level. The two percentages are added and must equal 100% in order to qualify for the desired grade level. All academic degrees and coursework must be completed at a college or university that has obtained accreditation or pre-accreditation status from an accrediting body recognized by the U.S. Department of Education.
