The position is located within the OSS at VA Central Iowa Health Care System (VACIHCS); providing a full range of administrative and clerical support to the OSS; serving as the principal clerical and administrative support person based on a thorough knowledge of VHA's scheduling program under the GPM.
Duties
Major duties listed but not limited to:
establishing and maintaining approved clinic profiles in the Veterans Health Information & Technology Architecture (VistA) by working closely with staff from all services, as well as MCAA and HIMS staff and provides coverage for Primary Care Management Module (PCMM) coordinator as needed.
Receives, reviews, and analyzes incoming mail for the OSS with the responsibility of determining what action is required and by whom.
Determines whether correspondence should be brought to the attention of OSS leadership or the GPM or referred to other appropriate individual(s) for required action.
Types minutes and maintains them for all OSS meetings and independently prepares the agenda for meetings as needed.
Composes select correspondence to Veterans and medical providers as needed.
Serves as the initial contact/receptionist for customers by phone or in person.
Maintains files, policies, and procedure manuals for the OSS. Provides and coordinates ADPAC, PlV Sponsor, and TMS administrator duties for the service.
Prepares OSS reports, policies, forms, pamphlets and other administrative reports and for publication and completes distribution to the required areas. Creates and compiles weekly, monthly, quarterly, and annual reports.
Performs other duties as assigned.
Work Schedule: Monday-Friday, 7:30pm-4:00pm (Work hours may be further discussed during interview)

Qualifications

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to:enter data, demographics, insurance and other information into computer applications; review reports, records and statistical computations for accuracy; provide administrative support and collaborate with different departments and service lines; schedule and coordinate appointments for diagnostic testing and consultative appointments; hold presentations on benefits and enrollment seminars; interpret computer generated reports and understand data processing capabilities; utilize office automation programs such as MS Office, excel, MS Outlooks, etc.; and prepare written correspondence for a broad spectrum of complex inquiries from internal and external customers.
There is no educational substitution for the GS-06 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
