The incumbent serves as the principal office clerical or administrative support Incumbent to the Chief Nurse and subordinate staff under the following sections: Operations, Surgery, Acute Care, Mental Health, or Ambulatory Care. The Incumbent operates independently of any other such Incumbent in the office.
Duties
Duties include, but are not limited to:
Receives telephone calls and visitors from VA employees, union representatives, etc., and determines nature of call or business of visitors.
If business requires the attention of technical or staff specialists, decides whether the importance of business, rank, or Incumbent of visitor is such as to require personal attention of superiors or if the visitor should be referred to the appropriate division or staff concerned with specific subject.
Must be sensitive to the nature or purpose of requests in order to effectively represent the supervisor's organization and program.
Manages the Chief Nurse E-mail inbox and maintains log of open tasks.
Provide clerical assistance to tasked parties to assemble appropriate responses to action items and suspense's. Maintains calendar of events, reminding the chief of appointments, furnishing briefs of subject matter and or purpose of meeting.
Resolves conflicts and projects time for recurring requirements to ensure maximum time management.
Makes all necessary arrangements for travel, arranging schedule of visits, making transportation and hotel reservations, notifying organizations and officials to be visited, keeping in touch with supervisor enroute, and submitting travel vouchers and reports.
Meets regularly with the Chief Nurse to coordinate administrative efforts, identify problems, discuss program activities, recommend solutions and collect information for adjusting workload among the Nursing clerical staff.
Gathers information supporting the Chief Nurse participation and/or involvement in conferences, formal and informal meetings, and presentations.
Creates, processes and/or tracks personnel actions as assigned.
Advises all nursing employees: i.e., nursing assistants, health techs, registered nurses, and administrative staff on personnel regulations and policies such as pay, leave (as Incumbent functions as timekeeper).
Responsible for typing PDs and must have a clear understanding of the format.
Supports the Chief Nurse by maintaining files on ACLS and BLS certification and notifies the Chief Nurse when staff certifications have expired; Incumbent also prepares the memorandums notifying employees their certification has expired.
Uses office automation systems and various Microsoft software packages/programs, to accomplish work.
Effectively enhances the ability of the office to support the overall mission requirements through the performance of one or more of the following: uses database or spreadsheet software to accurately enter, revise, sort or calculate, and retrieve data for standard reports.
Work Schedule: 7:30am-4:00pm Monday through Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Plans, distributes, and monitors work assignments; evaluates work performance and provides feedback to others on their performance; Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems; Knowledge of filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms.

Physical Requirements: The work is sedentary. There may be occasional carrying of light objects such as files, papers, and books. No special physical qualifications are required except ability to reach or stoop to lift or obtain files and to be able to communicate effectively with a wide variety of people. There may be need for extended hours on occasion due to emergency situations or emergency operations.
