The primary purpose of this position is to perform as the executive assistant and principal office assistant to the Medical Center Director. This Miami VA Healthcare System is a 1A facility and one of the largest and most active in the VA system. In addition to its role in patient care, this Medical Center has major commitments in the areas of education and research. The facility's Medical School affiliation is with the University of Miami School of Medicine.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major Duties: Determines need for memoranda to be issued to the staff on procedural materials and/or requirements, prepares the necessary instructions, and presents them for approval. Screens incoming directives being alert to changes in policies and procedures, and informally discusses them with the Medical Center Director. Attends meetings and conferences with the Medical Center Director, taking notes or transcription of the proceedings. Determines what action is necessary with regard to the Director's staff, informing them of commitments made and actions required of them. Notifies appropriate staff officials of the need for information and/or recommendations, either prepares the responses or follows up on procedural materials to ensure a timely response. Exercises exclusive control over the Medical Center Director's appointments/calendar, with complete authority to commit time. Sets up priorities, shifting, rescheduling, or refusing appointment or invitation by utilizing intimate knowledge of the Director's wishes and availability. Makes sure the Director has back-up information regarding appointments and briefs the Director on information regarding appointments and meetings. Communicates and actively collaborate with other senior executive support staff to manage the work schedule. Screens all visitors and telephone calls to the Medical Center Director. Receives all correspondence addressed to the Medical Center Director Disposes of it through gathering information, application of knowledge of the Director's or the Medical Center's policies when composing replies. Reviews all outgoing correspondence requiring the Medical Center Director's signature to assure completeness, indicated clearances, adequacy and conformance to policy, views, tone, and grammatical correctness. Makes all necessary travel and accommodations arrangements timely and accurately for the Director's travel, arranging schedule of visits, making transportation and hotel arrangements, and notifying organizations and officials to be visited. Performs all duties as assigned. Work Schedule: 8:00am - 4:30pm Monday - Friday / Telework: Ad-hoc Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Qualifications

For GS-9: Possess at least one (1) year of specialized experience to perform the duties of this position. To be creditable, this experience must have been gained to at least the equivalent of the next lower grade level of (GS-8) in Federal service. Specialized experience is relaying instructions, collecting data, setting up schedules or acting on requests received concerning procedural or administrative requirements; possessing of grammar, spelling, punctuation, and formatting and/or taking and transcribing dictation; operating a typewriter, word processing computer software, fax machine, email, printers, etc. AND TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. In accordance with 38 U.S.C. 7402(d), No person shall serve in direct patient care positions unless they are proficient in basic written and spoken English. You must be proficient in basic written and spoken English in order to meet the requirements of this position. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
