The Administrative Specialist position is located in the Department of Program Services (DPS), Case Management Systems Office (CMSO), Business Support Division (BSD). The CMSO develops and maintains case management and related systems for federal appellate, district, and bankruptcy court judges and staff, probation and pretrial services officers, federal defenders, and external stakeholders.

Duties

This position will report to the Chief of the Business Support Division in the Case Management Systems Office (CMSO). The CMSO is seeking a self-motivated professional Administrative Specialist to provide a wide variety of administrative services in support of the office's daily operations. The incumbent will be responsible for officewide administrative duties in a fast-paced and challenging work environment. The duties of this position include, but are not limited to: Providing administrative support to the office by sending emails, drafting, reviewing documents, arranging meetings, and taking meeting minutes. Tracking a variety of office data and document statuses; handling and maintaining confidential documents; and managing competing priorities and deadlines. Processing AO forms for IT equipment requests for the onboarding and offboarding of staff. Providing logistical support to set up offices and facilitate office moves. Ordering, tracking, and managing supplies for the office. Leading group and office committees to plan group events and activities. Performing basic receptionist duties; and answering and directing phone calls. Maintaining and managing multiple group and leadership calendars, meetings, and appointments. Performing and completing staffing and personnel request activities. Drafting and preparing cover letters and payment documents. Processing travel requests and reimbursements; and invoice processing and support. Supporting, tracking, and processing office training requests; and updating Excel workbooks to track office needs. Developing and maintaining filing systems; and scanning, copying, filing, stamping, and locating documents. Assisting office staff with reports and presentations using multiple applications; and using Microsoft Suite daily to support office needs. Working with SharePoint administrators to edit and support the office site. Collaborating with agency staff to gather agency news and information to distribute to the office and agency. Maintaining, updating, and tracking paper and electronic files. Performing data entry functions and generating reports. Participating in special projects as needed.

Requirements

Qualifications

Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions. Specialized Experience: Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience must demonstrate experience in ALL areas defined below: Providing administrative support in drafting, preparing, and reviewing documents; Developing and maintaining filing systems; Maintaining, updating, and tracking paper and electronic files; and Performing data entry functions and generating reports. Highly Desired: Microsoft certifications. Strong communication skills and exceptional attention to detail. Excellent customer service, critical thinking, multi-tasking, and problem solving in an office setting. Ability to multi-task and rank priorities.
