Incumbent coordinates with bipartisan/bicameral Congressional Leadership offices to plan and organize special events held inside and outside the U.S. Capitol. Incumbent also assists Leadership and Members of the House of Representatives to plan the visits of foreign dignitaries, American dignitaries, other protected and/or high-profile visitors to Capitol Hill.
Duties
Duties:
Assists with administrative tasks and organizational support for the division of Protocol and Special Events.
Maintains an annual budget for the Protocol and Special Events division.
Plans and schedules meetings and appointments; assists with preparation for meetings and presentations.
Participates in planning meetings to facilitate open discussions between both internal and external departments. Enables communication and transparency on a bipartisan and bicameral level.
Supports and serves in an escorting role for large-scale official Congressional events, including State of the Union addresses, Joint Sessions of Congress and State Funerals.
Contributes to standard operating procedures and processes for the division.
Conducts research to improve guest experience while maintaining the ideals and rituals of the institution, including entry and registration, programmatic pieces, printed materials, and reception menus/aesthetics.
Under supervision of division director, develops and monitors timelines and deadlines related to all aspects of events, incorporating staffing needs, VIP arrivals, media, and security logistics.
Maintains standard operating procedures and processes for the department.
Advises on expenses related to meetings and events for budget preparation.
Serves as protocol resource and primary contact for all House Member offices regarding event logistics and ticket requests.
Assists the Assistant Sergeant at Arms for Protocol and Special Events with special projects.
Performs other duties as assigned.
Work Experience and Education:
Bachelor's degree and 2 - 4 years of experience in event planning, protocol, or related professional area; or equivalent professional experience coordinating high profile events.
Knowledge, Skills, and Abilities:
Knowledge of policies and procedures of the House of Representatives and United States Capitol Police; knowledge of the physical layout and regulations governing the use of the Capitol and House Office Buildings; strong computer skills; detail oriented; excellent oral and written skills; ability to work well under pressure, exercise discretion and sound judgment while independently solving problems; ability to work and communicate with a wide variety of people including Members, staff and outside organizations; must be able to prioritize assignments that involves frequent concurrent deadlines; must be sensitive to potential difficult situations and eager to communicate and solve problems with a positive attitude; and must be highly organized, analytical and possess strong implementation/tactical skills.
Work Schedule:
Full-time, permanent, Monday - Friday, 8:30 a.m. to 5:00 p.m. Must be able to work outside of normal business hours, when necessary, evenings and weekends as needed.
