Duties

This position serves as an Administrative Services Assistant in the Administrative Division for the Office of the United States Attorney, Eastern District of Virginia. The incumbent provides a wide variety of clerical and administrative services in support of the Administrative Services and Director of Administration and performs other administrative functions of the district. Typical duties will include: Composing letters, endorsements, memoranda and electronic correspondence from records or files. Creating, copying, editing, storing, retrieving a variety of documents: memoranda, directives, report forms or maintaining spreadsheets or databases. Preparing recurring and special reports, compiling data and obtaining required data. Maintaining contracts for routine services. Assisting in maintaining property records and conducting inventory. Providing technical assistance to human resources specialists in one of the following administrative services programs: human resources, financial management or procurement. Responsibilities will increase and assignments will become more complex as your training and experience progress.

Requirements

  • You must be a U.S. Citizen or National
  • Initial appointment is conditioned upon a satisfactory pre-employment adjudication. This includes fingerprint, credit and tax checks, and drug testing. Continued employment is subject to a favorable adjudication of a background investigation
  • You must be registered for Selective Service, if applicable
  • If selected, you may be required to complete a one year probationary period.
  • You must meet all qualification requirements upon the closing date of this announcement.

Qualifications

GS-5: To be qualified at the GS-5 level, you must have one year of specialized experience equivalent to the GS-4 level in the federal service or private sector. Specialized Experience: Providing a variety of clerical and administrative functions such as producing written documents utilizing office automation software; sorting and retrieving data to produce documents and reports; preparing and/or assisting with travel requests and vouchers; making purchases within governing procurement regulations; receiving telephone calls and visitors to the office. OR Substitution of Education: 4 years above high school is also qualifying for the GS-5 level. OR Combining Education and Experience: Successfully completed post-high school education may be used to meet the total one year of specialized experience requirement equivalent to the GS-4 grade level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. GS-6:To be qualified at the GS-6 level, you must have one year of specialized experience equivalent to the GS-5 level in federal service or private sector. Specialized Experience: Providing a variety of clerical and administrative functions such as: producing written documents utilizing office automation software; sorting and retrieving data to produce documents and reports; and performing duties in one or more of the following areas: Human Resources: Receiving personnel actions and determining processing data such as nature of action and authority codes. Financial Management: Producing recurring reports on costs and preparing invoices or fiscal items for payment. Procurement: making purchases within governing procurement regulations; receiving and directing calls and visitors; maintaining electronic databases to track information and suspense items; maintaining contracts for services, and making purchases of supplies, equipment, and services. GS-7: To be qualified at the GS-7 level, you must have one year of specialized experience equivalent to the GS-6 level in the federal service or private sector. Specialized Experience: Providing a variety of clerical and administrative functions such as producing written documents utilizing office automation software; sorting and retrieving data to produce documents and reports; and performing duties in one or more of the following areas: Human Resources: Receiving personnel actions and determining processing data such as nature of action and authority codes. Financial Management: Analyzing historical budget and financial data; reviewing and analyzing budget reports, classifies errors and takes corrective action. Procurement: making purchases within governing procurement regulations; receiving and directing calls and visitors; maintaining electronic databases to track information and suspense items; maintaining contracts for routine services and improvements. Responsibilities will increase and assignments will become more complex as your training and experience progress. To be qualified, you must type at least 40 words per minute based on a 5 minute sample with three or fewer errors. (A typing test may later be required.) Interagency Career Transition Assistance Plan (ICTAP) - The ICTAP provides eligible displaced Federal competitive service employees with selection priority over other candidates for competitive service vacancies.
