The position is to perform administrative functions that include administration, human resources management, budget and finance, management analysis, office support services, document control, logistics, and a variety of related administrative matters in support of the Sterile Processing Service (SPS) Nursing and Patient Care Services, Central Alabama Veterans Health Care System, Montgomery, AL.
Duties
Major duties include:
The Administrative Assistant performs a wide variety of duties such as; implements policies, procedures, communications, and other documents. Develops, reviews, and interprets service memorandums. Reviews and interprets emails, suspense notifications, and requirements, and reports from the VISN and OSP administrative staff, responding when appropriate for the Service Chief. As well, coordinates the administrative requirements for the SPS staff education and training (including professional education), safety and computer training.
Provides advice and guidance to supervisors and employees on the interpretation and application of a variety of human resources policies, practices, and procedures including staffing, classification, employee relations, benefits, and related areas that affect Sterile Processing and Patient Care Services. Ensures that performance ratings are submitted in a timely manner in accordance with regulatory guidelines. Analyzes management plans to determine the impact on administrative processes.
Conducts limited studies and evaluations to improve administrative processes. In this role the incumbent will review and maintain personnel action requests, awards, promotions, and section supervisors' disciplinary action documentation.
Coordinates recruitment for vacant positions in SPS as well as monitor compliance with program documentation requirements.
Schedule appointments, coordinates meetings, and/or scheduled conferences using Microsoft Teams or designated calendar or software. Provides general calendar maintenance such as arranging for meetings and small conferences, administrative details, or follow up on action items with appropriate staff members independently. Researches and provides background on subject matter of meetings without directions.
Screens all visitors and calls, answering most questions and completing most business involving established policy or routine matters without referring individuals to the supervisor. Arrange meetings, including making reservations for meeting rooms and notifying all participants.
The incumbent with Chief, SPS provides for the budgeting and fiscal management of the service.
Incumbent maintains time in attendance for all staff. Utilizing a certified time schedule, enters time and attendance into VATAs daily.
Perform other duties as assigned.
Work Schedule: Monday - Friday, 8:00am to 4:30pm

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/15/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 07 position you must have served 52 weeks at the GS 05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Previous administrative experience. Duties can include use of various computer softwares such as Microsoft Word, Excel, Powerpoint or similar software. Basic clerical duties such as typing, filing documents, record keeping, and tracking actions items. Additional preferred experience: Create correspondence in proper formats, maintain manual and electronic calendar, and/or time keeping. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 1 full year of graduate level education. OR, superior academic achievement; Education must be related to this position.
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond.

Physical Requirements: The work is primarily sedentary. It occasionally requires carrying of items up to 50lbs., walking, standing, and bending. No special physical qualifications are required.
