The Program Support Assistant (OA) assists the Office of the Service Chief/Care Manager and the Associate Director Patient Services {AD/PS) by providing clerical and administrative support. In addition supports the Nurse Recruiter, Nursing education and other Care Managers via clerical and technical support functions encompassing various aspects of nursing administration including: Recruitment and Retention; Quality Management; Nursing and Staff Education, Worker's Compensation; Time and Leave.
Duties

Duties may include but are not limited to:
The work includes a variety of administrative functions necessary to the smooth management of the Resource Managers office in collaboration with all other departments in patient services.
The front line for the Resource Managers office, answering phones, providing secretarial assistance, creating and updating recruitment and hiring spreadsheets
Orders supplies needed to conduct daily business
Arranges conferences and meetings to be conducted by the supervisor or other Careline Managers and assists with the organization of related materials, and transcribes meeting minutes.
Receives, reviews, logs and routes incoming phone calls and mail.
Assists with the hiring actions for section through managing resume tracking spreadsheets, contacts applicants and schedules interviews
Compose replies to general inquiries not requiring basic technical knowledge.
Perform review of outgoing correspondence for procedural/grammatical accuracy, correctness, adequacy and compliance with existing policies and/or procedures and ensures all enclosures are attached.
Assist in the planning, review and reporting of data/statistical results of projects and studies and performs basic analysis of the data and generates variety of reports
Maintenance of calendars for appointments, conference and meetings, arranges schedules based on personal knowledge of Resource Manager or Nurse Recruiters availability, workload and priorities; reschedules appointments when conflicts are identified
Work Schedule: Monday-Friday, 7:30 a.m. - 4:00 p.m.

Physical Requirements: The incumbent's work requires some walking, standing, bending and the carrying it items such as books and papers that are considered to be light in weight (approximately 20 lbs.)
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade .Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience for GS-6: One year of demonstrated specialized experience equivalent to the GS-5 level that required knowledge of procedures and techniques to carry out the work directly applicable to this position. Examples of specialized experience would typically include, but are not limited to: Knowledge of duties, priorities, commitments, policies and program goals of Nursing Service to perform non-routine assignments such as locating and summarizing information from files and documents as required or in anticipation of supervisor's needs, independently noting and following up on commitments made at meeting and conferences. Comprehensive knowledge of rules, regulations, and other guidelines relating to completing assignments in the various nursing areas assigned. Knowledge and ability to interpret and apply regulatory and procedural requirements to process unusually difficult and complicated transactions. Technical knowledge requires a practical knowledge of guidelines and precedent case actions relating to a particular program area. This knowledge may be acquired through experience and on-the-job training. Knowledge to recognize the dimensions of a problem and express ideas in writing. Skill and ability to perform an aspect of data collection, validation and processing. Skill in advising clerks and other units concerning such matters as the application of various procedures and reporting requirements. Knowledge of grammar, spelling, capitalization, punctuation, medication terminology, terminology commonly used in office setting and formats to prepare material correctly from handwritten drafts or voice recordings, and knowledge of standard processing procedures, formats, and distribution and retention policies for the correspondence or reports produced.
