The File Clerk is in the Health Information Management Service reporting to the File Room Supervisor. File Clerk accepts and supports the mission, vision and guiding principals of the medical center. Performs assigned duties in a manor that promotes quality health care, understanding customer service, and administrative support to an environment committed to serving the veteran.
Duties
The incumbent receives, pick-up, process, sort, distribute, and research "critical", "time sensitive", incoming and outgoing "official/inter-office/Accountable" HIPAA related mail.
The incumbent handles and ensures "Confidential" and "Sensitive" documents (Legal/ Congressional) mail is properly opened, logged, read, date stamped, sorted and delivered immediately to the right "Department Administrative Officer".
The incumbent safeguards and protects all mail and computer data containing (HIPAA/PHI/ PHI) information.
The incumbent ensures adherence to all applicable US Postal Service Laws, rules, regulations, and guidelines relating to the duties assigned are followed.
The incumbent processes mail from over 150 locations throughout the facility and multiple locations off-site over long distances. Responsibility includes pick-up and delivery of mail to several off-site locations and a daily delivery to the US Post Office.
The incumbent conducts quality control procedures by ensuring that all outgoing mail (letters and packages) are metered with proper date, postage, complete address, proper labeling, and packaging.
The incumbent will operate a computer for daily operations in the record search (directory mail) process.
Work Schedule: MONDAY through FRIDAY, 7:00AM to 3:30PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. GS-4 MINIMUM QUALIFICATIONS: You must have 1 year of general experience. General experience includes:
Scanning and sorting/indexing activities.
Administrative clerical duties.
Answering the phone, standard office duties.
Transfer information to health care facilities.
Computer skills.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 2 years above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.

Physical Requirements: The work is mostly sedentary. However, frequent walking to pick up records at multiple locations, standing, lifting, reaching, bending, carrying or records and boxes of records, packages, and bulky files are frequent. Must be able to push or pull heavy carts of medical records.
