Identify customer's concerns, perform the tasks required to resolve issues accurately and timely, and follow-up as necessary to ensure a satisfactory resolution. Maintains the ability to communicate effectively and professionally with employees at varying grade levels, routinely communicates with physicians, case managers, nurses, and other allied health professional staff using sound interpersonal skills. Conduct communication with internal and external customers for completeness of the patient care experience. Delegated full administrative responsibility for planning and directing the MSA's activities. Responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management. This position serves under the Associate Chief of COPS and is assigned to the Community Outpatient Service Line and performs a broad range of complex administrative activities in support of Patient Benefits and registration intake activities done at the Medical Center and the 13 outpatient clinics. Manage various reports and execute phone calls to engage veterans about maintaining active enrollment in VA healthcare. Performs program support work such as collecting, researching, and tracking data and program information from making calls to Veterans from database and dashboards in an effort to increase the number of unique veterans who have had two or more RTC's entered but have not scheduled a follow up appointment, enrolled Veterans who are actively seeking out care but not enrolled in Primary Care, eligible Veterans who are not enrolled in VA healthcare and enrolled Veterans who have not used any VA services in the past two years. Work Schedule: Monday - Friday; 8am - 4:30pm Recruitment Incentive (Sign-on Bonus): Not Authorized Pay: Competitive salary and regular salary increases Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience. Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child. Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66. Retirement: Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA Insurance: Federal health/vision/dental/term life/long-term care (many federal insurance programs can be carried into retirement) Telework: Available Virtual: This is a virtual position. Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR One year above high school; OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: Experience at the GS-6 includes but is not limited to: participating in team huddles and team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for the patient visit/procedure (e.g., X-ray, lab work); managing electronic wait list to verify and validate accuracy and resolve issues; participating and providing input in problem solving on operational issues or procedures in team meetings, performing administrative follow up actions; participating in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested; educating providers about shared patients (those who receive their care at multiple Vas or those who have care in the community) and bringing to the attention of the provider. Demonstrated Knowledge, Skills, and Abilities. GS-07 Supervisory MSA must demonstrate the KSAs below: i. Ability to provide the full range of administrative and supervisory duties in a patient support setting, which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. iii. Ability to provide briefings, orientations, staff development, and training related to administrative functions in a patient support setting. iv. Ability to delegate authority, evaluate and oversee people and programs, accomplish program goals, and adapt to changing priorities. Preferred Requirements : Knowledge of Patient Enrollment and Eligibility Proficient in Microsoft office Scheduling and Outreach Experience References: VA Handbook 5005, Part II, App G45 Medical Support Assistant Qualification Standard GS-0679 The full performance level of this vacancy is GS-07. Physical Requirements: The work is mostly sedentary. It typically requires sitting with sustained periods of concentration. There will be some walking, standing, bending, and carrying of relatively light objects. The position may also require stooping, reaching, lifting, pulling, and other moderate exertion or strain. Incumbent may occasionally have to walk some distance to a meeting.
