Salary: $68 845 - 89 496 per year

You will serve as an Administrative Assistant performing and overseeing a variety of office administrative functions that involve formulating and implementing office activities and procedures in support of the Director/Deputy. You will work with the U.S. Indo Pacific Command Protocol Office to plan and coordinate visits of foreign and domestic dignitaries. This position is located at JIATF WEST, Camp H.M. Smith, Hawaii.

Duties

You will advise the Director/Deputy of the efficiency or feasibility of plans. You will follow policies and specific requirements to ensure proper procedures to prevent unauthorized disclosure of classified information. You will record and transcribe any and all directions into letters, endorsements, messages, office policies and reports; ensuring correct grammar, spelling, and format. You will prepare read ahead and talking points from various directorates for the Director/Deputy. You will handle and coordinate multiple calendars and schedule conferences and appointments for the Director/Deputy. You will develop a plan for distinguished visits from high level officials within all Military/Governmental departments. You will coordinate all travel for the Director/Deputy including scheduling of travel related logistics, hotels, and car reservations.

Requirements

  • Must be a US Citizen.
  • Must be determined suitable for federal employment.

  • You must obtain and maintain a Top Secret security clearance and access to Sensitive Compartmented Information (SCI). Failure to do so may result in the withdrawal of an offer or removal. Indicate the level and date of your clearance in your resume.
  • Successful completion of a pre-employment drug test (including marijuana) is required. A tentative offer of employment will be rescinded if you fail to report to the drug test appointment or pass the test. You will be subject to random testing.
  • You must acknowledge in writing that you are accepting an appointment in the DCIPS (excepted service) which does not confer competitive status, prior to appointment.
  • Within the Department of Defense (DoD), the appointment of retired military members within 180 days immediately following retirement date to a civilian position is subject to the provisions of 5 United States Code 3326.
  • Males born after 12-31-59 must be registered for Selective Service.
  • All Defense Intelligence positions under the Defense Civilian Intelligence Personnel System (DCIPS) are in the excepted service by specific statute, 10 U.S.C. 1601. This position is in the excepted service and does not confer competitive status.
  • This position requires a periodic polygraph examination.
  • This position may require a two-year DCIPS trial period requirement.
  • Travel both on-island and off-island may be required.

Qualifications

Your resume must demonstrate at least one year of specialized experience at or equivalent to the GG/GS-09 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Plan and coordinate meetings, ceremonies, social functions, and events for distinguished visitors; Maintain a calendar by scheduling, rescheduling, and coordinating appointments for an organization; Initiate and coordinate travel arrangements, including air, hotel, and rental car, for executive and senior leadership; Prepare correspondence to ensure the use of proper format, grammar, spelling, and punctuation in accordance with departmental policy and instruction.
