This position is located within the Diagnostic Imaging Therapeutic Care Line (DTCL). The incumbent will provide a variety of administrative management and clerical support to the Breast Imaging Department. The incumbent will also function in a supportive role performing a variety of duties in the care to include but not limited to the data collection, patient scheduling, preparation of and/or assistance to support the various imaging exams within the Breast Imaging Department.

Duties

Performs administrative tasks in all aspects of the assigned Diagnostic Imaging Therapeutic Care Line (DTCL) Breast Imaging Department. Responsible for mail receipt and distribution, information technology requests, and tracking of compliance by the section with numerous administrative requirements (e.g., patient notifications, printing and mailing imaging results, reminder letters, recall/follow up letters, report review, schedule review, order review for imaging/biopsy procedures etc.). Supports the department navigator(s) to ensure timeliness of care for all procedures performed in the department to include but not limited to abnormal outcomes, data collection, management of imaging tracking/reporting and patient education. Serves as a liaison between the section and numerous internal and external customers including veterans, patient family members, other medical center departments, trainees, researchers, other VA Medical Centers, and other healthcare facilities in the Texas Medical Center. All areas within the Breast Imaging Department will be monitored by the incumbent with auditing of the scheduling process, ensuring appropriate discontinuation of duplicate requests, correction of imaging order errors, and reporting to VA Medical Center leadership on the status of clinic and procedure exams. Monitor the patient access performance metrics and works with the lead interpreting physician and breast imaging manager to ensure timely scheduling of imaging orders. Oversee the completion of patient care encounters, clinical reports, progress notes, and other patient care documentation according to prescribed timeframes. Receives and assists visitors in the work area with information regarding the sections and/or resolution of problems. The incumbent distributes information, solves problems personally whenever possible, refers other contacts to appropriate personnel, and monitors all subsequent contacts for appropriate and timely action. Incumbent obtains material needed for appropriate action by professional staff prior to referral whenever possible. This may require coordination among several separate entities or individuals, and requires good rapport with many different departments in the medical center. Integrates several types of software to generate specific working documents and forms such as spreadsheets, databases, graphics, presentations, research manuscripts, and other related products. Develops and maintains electronic information files, create reports, enters data, upload patient images and reports for a variety of purposes including workload capture, clinical billing and coding for the section. Selects appropriate system, application, and format. Collects, compiles, and tracks data and information in support of the sections' operations. Receives and processes data and information in accordance with established formats and procedures. Completes and enters pertinent information into various tracking systems (e.g. Mammography Reporting System, action items, Computerized Patient Record System (CPRS), Talent Management System (TMS), etc.. Prepares and/or tracks program specific information such as section workload, staffing, congressional inquiries, grants, and cooperative agreements. Performs basic analysis of the data and generates a variety of reports. Maintains automated system of program-specific data to track due dates on items such as imaging follow up, scheduling preparations, report review, etc. Work Schedule: Full-Time, 7:00am-3:30 pm and/or, 7:30am-4:00 pm and/or, 8:00am-4:30 pm and/or, 8:30am-5:00 pm and/or, 9:00am-5:30 pm and/or. Weekends and Holidays when required. Tour of duty will be as clinic needs dictate and subject to change based on agency needs. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/04/2024. Minimum Qualification- OA Requirement: Applicants for this position must show possession of the following skill: 40 words per minute typing speed. Applicants may meet these requirements by self-certifying their proficiency. You should be aware your self-certification of possession of this skill is subject to evaluation and verification. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience providing clerical and administrative support to an office or program: Experience with consult management; Utilizing systems for timekeeping, scheduling appointments, clinic cancellations and rescheduling; and experience in an outpatient setting including face-to face patient interactions. This experience must be supported by your resume to be creditable. Physical Requirements: The work is generally sedentary although there may be some walking, bending, or standing for short periods of time or carrying light items such as files, papers, books, audiovisual equipment, robes, linen, etc. The work may require heavy lifting of equipment or patients.
