The incumbent serve as the Program Support Assistant for Education & Informatics department and provide or coordinates suppo1i to all function under the purview of that office. The incumbent report directly to the Manager, Education and Informatics. The incumbent is knowledgeable of the philosophies, objectives and organizational structure within the Service and throughout the medical center and the Veterans Health Administration (VHA).

Major Duties Include but not limited to:
Provides assistance and program support for the Education & Informatics department;
Produces month] departmental report and meeting minutes;
Perform clerical duties to include receiving calls, assisting with requests, taking messages and directs inquiries appropriately for the Education & lnformatics department and all functions under the Manager Education &
Informatics;
Assist in obtaining space, coordinating training and other education programs, including new employee orientation and clinical orientation;
Prepares executes and/or track information such as official records, action items, performance measures, personnel actions, status of mandatory training, and training and travel requests.
Processes training request to include reviewing requests for completeness and integration with individual/team/program training plans, obtaining concurrence /approval as necessary assuring funds are available through the appropriate control point, verifying completion of training;
Maintain records of funds allocated and ·pended for educational purposes;
Manages and screens incoming and outgoing correspondence, determine necessary action, and compose replies on matter requiring familiarity with regulations of various operating service /programs.
Maintain a suspense file and initiates necessary follow-up or takes subsequent action indicated b the correspondence;
Act a point of contact for Personal Identification Verification PJV) card . Assists unit personnel with obtaining and updating their PfV cards;
Perform office automation duties using software applications for electronic mail, desktop publishing, calendar, spreadsheet, database, graphics, SharePoint, VISTA, PfV, WebHR and Talent Management System (TMS);
Develops method for automating recurring report considering the multiple use of the data presented;
Receive incoming mail and determine appropriate action;
Review outgoing correspondence for format, grammatical accuracy, conformation

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
prepare, execute, and/or track department specific information;
utilize various office automation software packages such as Microsoft Office (Access, Excel, Outlook, PowerPoint, Publisher and Word);
coordinate meetings, including setting up conference rooms, sending calendar invites and recording minutes;
receive incoming mail/correspondences and independently determine action needed;
review correspondences for format, grammar, adherence to policy;
act as a timekeeper;
managing the workflow of the office, including developing administrative polices and procedure. OR,
GS-05: Substitution of Education for Experience: To qualify based on education for this grade level you must have four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. Transcripts required . OR,
GS-05: Combination of Education and Experience (TRANSCRIPTS REQUIED): Applicants may also combine education and experience to qualify at this level. (i.e. 6 months of specialized experience and 3 years of education above the high school level). NOTE: Only education beyond the second year can be used in combination with specialized experience to qualify for this grade Transcripts required.

Physical Requirements: The work is mainly sedentary. However, there will be walking. standing, bending, and carrying and lifting of light items such as packages. office supplies and books, generally of not more than 25 pounds.
Work Environment: The work is performed in an administrative office setting.
