Duties

Receive visitors and telephone calls; ascertain the nature of business and directs callers to the appropriate staff member. Personally provide information based on personal knowledge and furnish official information where authorized. Maintain supervisor's calendar and remind him/her of commitments. Coordinate meetings and conferences. Prepare minutes for meetings or conferences for distribution to the participants when requested. Establish suspense dates, maintain suspense records in the office, and perform follow-up to ensure timely reply. Arrange travel to include itinerary, billeting or hotel reservations and transportation; prepare and submit travel vouchers. Serve as time and attendance keeper for civilians, and coordinate with Finance and Accounting, as required. Provide continuing guidance, assistance, and training on applicable procedures, instructions, regulations, and formats to other lower-graded clerical personnel. Requisition blank forms, publications, and office supplies, and perform other similar office maintenance duties. Type a variety of narrative and tabular material (e.g., correspondence, reports, technical papers) into automated equipment such as Microsoft Office Suite; utilize virtual platform programs. Enter, manipulate, and/or retrieve information and data from the Composite Health Care System (CHCS), the Ambulatory Data System (ADS), and the Clinical Information System (CIS) as appropriate to the area assigned. Prepare a variety of recurring reports and special projects; search files for technical and non-technical data, extract and consolidate required data.

Requirements

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • This position has mandatory seasonal influenza vaccination requirements and is subject to annual seasonal influenza vaccinations unless otherwise exempted for medical or religious reasons (documentation of exemption must be provided upon hire).
  • This position requires the incumbent to have tuberculosis testing.
  • This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Tier 1 security investigation or access for the duration of employment. A background investigation and credit check are required.

Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors. You will be evaluated on the basis of your level of competency in the following areas: Administration and ManagementComputer SkillsCustomer ServiceInformation Management Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05).
