The purpose of the position is to perform a wide variety of administrative tasks associated with maintaining and supporting the work performed within the organization. Such work includes functions necessary for the efficient management of an office and ranges from correspondence and information control to ordering and tracking equipment, supplies, and services.
Duties
Obtains, analyzes and interprets routine information for making decisions or recommendations.
Compiles, enters. processes and analyzes data using a personal computer.
Contacts others to obtain information to respond orally to inquiries, requests for information or complaints.
Reviews and proofreads content of letters or other documents for completeness, correctness and consistency
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
BASIC REQUIREMENT(S):
In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below.
MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
GS-05: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-04 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks. Examples include: Work with various computer software programs, i.e., MS Office, word, excel, powerpoint, etc. Upload and extract data on computerized systems; develop a correspondence filing system. Take and transcribe minutes from meetings. Draft and compose responses to letters, create reports and/or newsletter. Coordinate meetings, conferences, training, etc. Use an automated system to coordinate travel arrangements. OR, successfully completed four (4) years of education beyond the high school level.
GS-06: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-05 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks. Examples include: Advanced knowledge of two or more administrative processes such as time keeping; preparing records for processing and billing In an Electronic Health Record system. Knowledge of office protocol to maintain electronic records. Scheduling for upper management using electronic calendars. Respond to complaints from the public. Compile information from a variety of sources to prepare reports. Prepare and submit supply requisitions according to established rules.
GS-07: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-06 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks. Examples include: Taking minutes for Executive staff, Team Leaders and Governing Body and following up or tracking the action items. Answering questions concerning policies and procedures. Acting in a confidential capacity with respect to daily activities of the office.
General Experience -Progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled.
Specialized Experience -Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated in the table, are not required by this standard to have general experience, education above the high school level, or any additional specialized experience to meet the minimum qualification requirements.
NOTE: Equivalent combinations of education and experience are qualifying for all grade levels and positions for which both education and experience are acceptable
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
