The incumbent will provide administrative support to the Community Based Outpatient Clinic (CBOC) program located at the University Drive Campus. The incumbent is under the supervision of the Executive Assistant to the Chief of Staff (COS). The incumbent will complete and coordinate a wide variety of administrative tasks essential to the efficient operation of the CBOC program and COS office.

Duties

The incumbent provides all program support for the CBOC program and provides administrative support to the COS Office. These duties include but not limited to: Oversees the onboarding of all new hires assigned to any CBOC location. Coordinates between the Contracted Vendor, Veteran Services Center (Suitability), and Credentialing and Privileging to prepare and submit all required documentation to necessary offices. Tracks the progression of this process for all new hires, troubleshooting and communicating to resolve any barriers. Incumbent to oversee credentialing from start to finish, submitting all forms for new clinical hires and tracking until formal approval is received at Medical Executive Board. Maintains accurate records, tracking where new hires are in the process, updating CBOC rosters accordingly, and authorizing new hires to start as soon as all prerequisites are satisfied. Tracks resignations, notifying necessary departments when resignations are received, to ensure appropriate account deactivation and removal from all systems and records. Serves as ADPAC for all CBOC hires, this includes: requesting new accounts, deactivating old accounts, submitting requests for keys, folders, and all other computer access. Provides education to new contractors who require scheduling access on the most current SOP, directing new hires what training is needing and assisting them in submitting requests for scheduling keys. Oversees all CBOC PIV cards, coordinating with the PIV Office to ensure all prerequisites are met so incumbent can sponsor new and renewal PIV card seamlessly. Connects contractors with PIV office, providing education on how contractors self-schedule for appointments and documentation requirements. Coordinates with Education to actively monitor account sunset dates and extends as needed. Documents and prepares minutes for various monthly and quarterly CBOC meetings, including meetings with contracted vendor corporate leadership, and section reviews with VAPHS section chiefs. Provides administrative support to the Chief of Staff office, serving as Talent Management System Administrator responsible for tracking required trainings, and ensuring compliance by service line learners. Serves as administrative point of contact for the facility vendor credentialing system, working closely with clinical and non-clinical service lines throughout the facility providing admirative assistance and addressing compliance concerns with VAPHS vendor access policy. Serves as back-up timekeeper. Serves as back-up to COS Secretary. Tracks compliance interns included but not limited to Checkpoint Alerts and other other compliance matters. Completes meeting preparation and meeting minutes. Completes administrative support for the COS office. Performs other duties as assigned. Work Schedule: 8:00am - 4:30pm, Monday thru Friday Telework: ADHOC Position Description Title/PD#: Program Support Assistant/PD025000 Physical Requirements: The work is generally sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers and books. No special physical demands are required to perform the work. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. This is a non-bargaining unit position.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-5 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: administrative support, entering database information, compiling, and disseminating information, generating a variety of reports, preparing correspondence, filing, typing, transcribing from minutes; effective communication, both orally and in writing, with all internal and external stakeholders to assist with program objectives. There is no educational substitution for the GS-06 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
