You will serve as a SECRETARY in the COMMAND SERVICES DEPARTMENT of NAVAL OCEANOGRAPHY OPERATIONS COMMAND.

Duties

You will coordinate and execute administrative functions and processes for the command. You will provide key assistance to command leadership in facilitating the performance of their responsibilities. You will provide administrative guidance and assistance to subordinate activities as required. You will receive visitors/callers, prepare correspondence, mail control, calendar control, telephone services, file and records (electronic and paper) management and organization, data call submissions. You will prepare a variety of documents using a computer and keyboard that requires a competitive level proficiency in typing as a well as knowledge of office hardware and software systems and peripheral equipment. You will prepare and submit travel authorizations and vouchers via the Defense Travel System (DTS). You will create, update, manage, and publish plans of the week command instructions, reports, and notices and policies. You will generate and maintain a tickler of all correspondence requirements and taskers to ensure all deadlines are met and that all correspondence is submitted in a timely manner. You will use a variety of office automation software in support of the command such as Word, Excel, PowerPoint, Adobe, graphics packages and other functions of Microsoft.

  • Generally, current federal employees applying for GS jobs must serve at least one year at the next lower grade level. This requirement is called time-in-grade. Time-in-grade requirements must be met by the closing date of this announcement.
  • Within the Department of Defense (DoD), the appointment of retired military members within 180 days immediately following retirement date to a civilian position is subject to the provisions of 5 United States Code 3326.
  • Males born after 12-31-59 must be registered for Selective Service.
  • This position requires the ability to type at least 40 words per minute. Your response to the typing skill question on the Occupational Questionnaire will be used in your qualification determination.
  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • You will be required to obtain and maintain a U.S. Passport.
  • This position requires evening and weekend work.
  • You will be required to obtain and maintain a current valid United States driver’s license.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.

Qualifications

GS-07: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience with of administrative programs, functions and organization, and administrative principles, practices and techniques in order to provide effective administrative support and to facilitate overall office management functions. Experience verifying documents for accuracy of grammar, spelling, and punctuation. Experience utilizing Microsoft Office, specifically Word, Excel, and PowerPoint, Adobe and office software required to produce a wide range of documents that often require complex formats, such as graphics or tables within the text, to edit and reformat electronic drafts, and to update existing databases. Experience and skill in writing and the ability to prepare effective written reports and other communications. Experience coordinating orally to coordinate the work and gain the cooperation of others. Experience coordinating the work of the office with other commands/departments, including advising personnel on new procedures or regulations. Experience exercising diplomacy and tact in carrying out protocol etiquette to deal with a variety of high-level visitors, including high-level military and civilian employees of the government, members of academia and the private sector, and high-level foreign nationals, both civilian and military. Experience with military fitness reports, evaluations, and awards requirements and processes to ensure final products presented for signature are provided timely for member service records. Experience operating the automated travel system to make reservations and create travel authorizations and vouchers.
