This position is located within the VA Greater Los Angeles Healthcare System. The primary purpose of the Secretary position is to provide administrative coordination and support to a member of the Executive Leadership Team.
Duties
Duties include, but are not limited to:
Serve as the Talent Management System (TMS) and Personal Identity Verification (PIV) sponsor to meet the computer information needs for the Executive Leadership Team.
Develop, implement, and/or maintain effective office standard operating procedures to satisfy program goals and supervisor's priorities.
Manage office equipment inventory to include recommendation for maintenance, replacement, and turn-in according to VA policies and regulations.
Extract and summarize data from various information systems to develop narrative and statistical reports.
Utilize a Government Purchase Card to acquire necessary office supplies for the staff.
Perform a wide variety of administrative and organizational functions to support the assigned section.
Manage meeting logistics, coordinating room reservations, setting up conference calls, and recording and generating meeting minutes as necessary.
Serve as the Travel Coordinator, submitting travel requests and managing travel arrangements and reimbursement submissions for assigned staff.
Prepare and review correspondence, spreadsheets, graphs, presentations, logs, reports, and other documents and route for final submission.
Serve as Timekeeper, updating time cards on a daily basis to ensure accurate accounting of all leave.
Manage section incoming calls, voicemails, and route to appropriate staff to ensure customer inquiries are answered.
Coordinate meetings, events, and manage calendar for the ELT to ensure obligations with internal and external key stakeholders are met.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday-Friday, 8:00am-4:30pm.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/08/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6; for a GS-8 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
GS-7 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: ability to perform a variety of clerical, administrative, and technical duties/responsibilities; skilled in a variety of computer programs, databases, and internet/intranet platforms needed for tracking, research, and reporting purposes; and effective written and oral communication.
GS-8 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: ability to perform a variety of clerical, administrative, and technical duties/responsibilities; skilled in a variety of computer programs, databases, and internet/intranet platforms needed for researching, tracking, reporting, purchasing, and travel coordination purposes; and proficient in written and oral communication.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work requires sitting, walking, standing, bending, and carrying of light items such as papers, binders, and books. Pace is fast and possibly stressful at times. Auditory acuity to transcribe dictation is necessary. Visual acuity to accurately transcribe information into reports is essential.
