The Program Support Assistant serves in a 1A complexity, affiliated, secondary and tertiary care VA Health Care System (HCS). The intent of this position is to serve in the primary role of the Program Support Assistant- Primary Care Resident Program. The position is located in Austin, TX.

Duties

Program Planning and Oversight 25% Responsible for setting the schedule of educational conferences to include medical grand rounds and to assist CTVHCS physicians in obtaining CME credit for participation in CME programs associated with the medical residency programs. Work closely with on-site Program Director in Austin, Site Directors at CTVHCS and Dell Medical School in assisting with clerkships at CTVHCS at Austin and Cedar Park CBOCs. Assure compliance with all applicable VHA regulations and requirements in force, to include affiliation and disbursement agreements, Program Letters of Affiliation, Without Compensation (WOC) appointments, security, review, and auditing (as needed) of educational schedules and compliance with schedules Interface with CTVHCS Human Resources, Police Service, OIT and the Education Service Education Program Specialist for all required training, documentation, and compliance with educational requirements (TMS). Assure compliance with all requirements of such boards. Provide WOC and CTVHCS credentialing support to faculty physicians or supervisory personnel from educational institutions with students in Austin or Cedar Park CBOC. Liaison supporting the Credentialing and processing of medical residents/fellows who rotate within Ambulatory Care- South. Trainee Management 25% Assure medical student, medical resident and educational staff compliance for computer access codes, computer security and information training Provide TMS assistance and support to the educational personnel including Health Professional Trainees (HPT) professional students and medical residents/fellows. Provide ADPAC services for any medical student/resident/fellow not supported by a service ADPAC. Assist medical students/residents/fellows with all official correspondence to include letters of reference and scientific articles/abstracts/posters. Personnel Administrative Support 20% Manages administrative/training documents regarding residents, ensuring that license, proficiencies, orientation checklists, boards, clinic grids, schedules and continuing education materials are efficiently processed and current. Assists with maintaining & ensuring the proficiency, Talent MS, competencies, criteria based functional statement and/or scope of practice is complete and included with the Official Personnel Folders for presentation to the Professional Standards Board (PSB). Ensures that Without Compensation (WOC) residents who receive performance appraisals, Ongoing Peer Performance Evaluations (OPPEs) and/or Electronic Health Care Records audits are issued plans, interims, and annual appraisals in a timely manner. Serves as the back-up timekeeper for Time and Leave (T&L) groups within Ambulatory Care- South Service. Incumbent is responsible for ensuring accuracy and timely submission via VATAS of all timecards and corrected timecards. Responsible for ensuring travel arrangements are accurately prepared in a timely manner. Office Administrative Support 15% Handles incoming correspondence. Prepares letters of acknowledgement and other routine correspondence based upon knowledge of the program Maintains the calendar of the Primary Care Resident Program Records appointments, resolves any scheduling conflicts, and follows up on action items with appropriate staff members independently. Coordinates meetings, and/or schedules conferences to include time, space, attendance, and any equipment needs. Data Collection & Tracking Support 15% Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of an organization's program operation Performs a consolidation of data and generates a variety of reports. Responsible for the automated system of program-specific data to track suspense on items such as project milestones, progress reports, funding accomplishments, compliance strategies, etc Work Schedule: Monday - Friday 7:30am to 4pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/05/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 06 position you must have served 52 weeks at the GS 05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS 5) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of duties, goals, procedures, and priorities of the service and the inter- relationships between programs with multiple medical centers throughout the VISN; Considerable knowledge of the function of clinical and administrative services of the Medical Center is necessary to coordinate the many activities of the office; Knowledge of medical terminology and ability to review charts and abstract relevant information and basic medical environment familiarity is required; Knowledge and proficiency in various office automation software processing procedures to produce a wide range of documents that often require complex formats such as graphics or tables within text, to edit and reformat electronic drafts, and to update and revise existing databases or spreadsheets; Skill in operating a personal computer, fax machine, dictation equipment and/or related equipment, e.g., printers, scanners, telephone systems, etc. is required; Knowledge of various data systems such as LEAF, CPRS, VSSC, VistA, etc. You will be rated on the following Competencies for this position: Clerical Manages and Organizes Information Communication Computer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. At times, the position requires carrying supplies and equipment not to exceed 50 pounds.
