This position serves as a File Clerk (Scanning Specialist) within the Health Information Management Section (HIMS) of the Business Office at the VA New Jersey Healthcare System in East Orange, NJ. The primary purpose of the position is to scan medical and legal documents and correspondence into the facility's electronic scanning system and to receive, scan, and index non-electronic health and administrative information.
Duties

Duties include, but are not limited to, the following:
Receive, scan, index, and dispose of non-electronic health and administrative information, interfacing with personal computer applications and software
Organize and prioritize workload to ensure deadlines and metrics are met
Follow communication procedures, guidelines, and policies
Ensure all necessary health, legal and administrative information is integrated into the Computerized Patient Record System (CPRS)
Conduct random quality audits to ensure integrity of scanned images, correct any deficiencies and validate corrections
Maintain daily productivity record of scanning and indexing activities
Resolve conflicts with documentation to for clarity quality and completeness
Serve as first-ling subject matter expert surrounding scanning operations and assist as an instructor/trainer for all scanning personnel
Serve and function as the facility record transfer coordinator ensuring that medical records are properly catalogued and inventoried
Exercise responsibility for the destruction of non-electronic health and administrative correspondence information.
Perform other duties as assigned
Work Schedule: Monday through Friday, 8:00am to 4:30pm

Qualifications
Experience: At least one (1) year of progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of this position. Experience includes performing work such as scanning, filing items, using a computer to provide clerical support, etc. ~OR~
Education: Successful completion of two (2) years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: Transcript required. Combination: An equivalent combination of successfully completed post-high school education and general experience as described above which meet the total requirements for this grade level. IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work involves considerable walking, standing and bending in searching for various files. There is occasional lifting and carrying of such items as record boxes and bulky files.
