This Management Assistant position serves in the Whole Health Service at the William. S. Middleton Memorial Veterans Hospital located in Madison, Wisconsin.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** The Management Assistant position will work as part of the Whole Health System Department at the Madison VA, which includes a multidisciplinary Integrative Health and Wellness program. This position will work under the general supervision of the Whole Health Clinical Director, but functions independently on a day-to-day basis. The employee is responsible for independently developing work assignments, priorities, and internal systems for managing office operations. Duties include but may not be limited to: Prepares reports, memorandums, and correspondence for the Director ensuring accuracy of information, proper formats, grammar and punctuation. Collects data and prepares performance improvements reports for the Whole Health Service. Assesses data and takes appropriate corrective actions when performance does not meet established benchmarks. Maintains computer and hard copy files and disposes of obsolete files in accordance with directives. Works in collaboration with the Director's credentialing and privileging coordinators, ensuring all licensed independent practitioners are processed in line with organizational directives and the medical bylaws. Assists with responsibility for developing and managing staff schedules, clinics and grids. Assists medical personnel in locating the responsible clinician for routine and emergency messages, taking independent initiative to immediately contact the appropriate provider. Assists staff in processing travel requests. Communicates with public contacts at the facility, and outside the facility to include VISN personnel, government facilities, health care institutions, and the general public. Provides requested information, makes appropriate appointments, or tactfully refers to other sources as appropriate. Aids in screening communications for the office, triaging calls and visitors. Provides information and resources regarding departmental policies and procedures within and outside of the hospital. Prepares briefing charts and supporting narrative explanations for use by supervisor and staff in special presentations. Assists service-line with preparation of presentations, development of standard forms and/or letters, integration of software to track, manage and compile program data, prepare reports to present to local and national leadership. Performs timekeeping duties/functions. Processes 2237's in Vista for materials and equipment, turn-ins, and other obligation requests. Request supplies, enter work order requests, and assist in completing inventory of equipment utilizing an Equipment Inventory list. Performs other duties as assigned. Work Schedule: Monday - Friday, 8:00am - 4:30pm. To qualify for this position, applicant(s) must meet the specialized experience below: SPECIALIZED EXPERIENCE: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-6). Specialized experience includes performing administrative duties such as utilizing a variety of office equipment and computer software to complete forms, prepare correspondence and reports; collecting data; and maintaining electronic files and databases. (Resume(s) must clearly support the duties and experience required for this position. We will not make assumptions regarding experience.) You will be rated on the following Competencies as part of the assessment questionnaire for this position: Administration and ManagementClericalCustomer Service (Clerical/Technical) IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary but requires some walking, standing, bending, climbing and carrying of light items such as papers and files. Long periods of sitting and using a computer screen and keyboard.
