This Management Assistant position is located in the Whole Health System/Integrative Health & Wellness Service at the William S. Middleton Memorial Veterans Hospital, Madison, WI.. The incumbent works under the general supervision of the Whole Health Clinical Director, but functions independently on a day-to-day basis and is responsible for independently developing work assignments, priorities, and internal systems for managing office operations.

The Management Assistant provides direct support to Whole Health System Service by organizing, collecting, analyzing and presenting information related to the current and future workload for an organization that has diverse functions and periodic changes in workloads, staff levels, work processes or objectives. The Management Assistant performs a wide variety of administrative support functions to including but not limited to:
Collecting, compiling, and consolidates data in support of the Service.
Assisting in accomplishment of special projects and studies.
Providing assistant level support of management and/or program analytical functions.
Using a wide range of automated processing skills such as various applications and word processing.
Assisting with studies such as management and manpower, reviews and analysis, to evaluate the effectiveness of various programs; and identifying required resources (i.e. staff and materials) to resolve program problems in meeting goals and objectives.
Analyzes and evaluates functions to improve the efficiency of internal administrative processes by interpreting VA regulations pertaining to the work of the office.
Provides advice on procedures, reports, requirements, and other matters necessary to implement policies, and instructions to Whole Health personnel.
Preparing various administrative reports.
Tracking a variety of administrative transactions as the documentation flows through the office in both electronic form and on paper.
Work Schedule: Full-Time, Monday - Friday, 8:00AM - 4:30PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/23/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of pertinent directives, policies and precedents which affect the program goals and objectives, work processes and administrative operations of the medical center; Knowledge of an extensive body of management and/or program analysis technical rules, guidelines, regulations, and precedents; Skill in basic data collecting methods and knowledge in identifying problem areas from collected data; Thorough knowledge of VISTA applications including CPRS, PAID, OR and or NON-OR packages, etc., in order to problem solve for patients and staff; Skills to prepare and complete clear and concise assignments.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary but requires some walking, standing, bending, climbing and carrying of light items such as papers and files. Long periods of sitting and using a computer screen and keyboard. The work is performed in an office setting and includes the everyday risks and discomforts typical of offices and meeting rooms. Simultaneous use of phone and computer.
