About the Position: Serves as Office Assistant responsible for performing office automation and specialized clerical functions in support of the New Orleans District Regulatory Division. Utilizes a variety of personal computer-based hardware components, peripherals, and software. Provides technical expertise in clerical matters pertaining to files and data management, personnel actions, training, etc., necessary to accomplishing the overall responsibilities of the branch.
Duties
Use office automation systems and software to produce a wide variety of complex administrative and technical documents.
Apply complex database applications, inputting and updating records.
Perform queries and retrieves data for use in the preparation of standard and nonstandard reports and respond to inquiries from the public and other Federal/State agencies.
Prepare travel orders and training requests, checking with traveler on transportation mode, and assists employees in other matters.
Perform time and attendance and labor reporting, with responsibility for the preparation of bi-weekly time and attendance and labor cost.
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
- One-year probationary period may be required.
- Temporary travel (TDY) of up to 5% of the time may be required.
- This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5-minute sample with three or fewer errors.

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized Experience: One year of specialized experience which includes 1) Receiving and screening visitors and phone calls; AND 2) Preparing a variety of correspondence requiring accuracy in spelling, grammar, formatting and spacing; AND 3) Utilizing office automation software (e.g. Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Access, etc.) to produce a wide range of documents such as correspondence and reports, tables and balance sheets, and charts and graphs. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).
OR
Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.
Time in Grade Requirement: Candidates may be advanced without time restriction to positions up to GS-05 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment.
With regards to time-in-grade validation, if you held a position other than a GS pay plan, be sure your resume includes the pay plan and the salary you earned during the assignment. Without this information, your time-in-grade validation may not be able to be verified and will result in your not meeting the time-grade requirement for this vacancy.
