Controls all information arriving and leaving the Medical Record File Room. Knowledge and ability to process requests for health/administrative information presented in person, by mail, fax, telephone, or E-mail.
Duties
Duties to include but not limited to the following:
Performs duties related to the receipt, intake, scanning, indexing, quality control, destruction, and transfer of health and administrative information.
Controls all information arriving and leaving the Medical Record File Room.
Ability to process requests for health/administrative information presented in person, by mail, fax, telephone, or E-mail. Knowledge and ability to process a request for fax and PC fax is necessary. The incumbent interfaces with personal computer (PC) applications as well as numerous VISTA and CPRS applications.
Directly responsible for pulling and retrieving medical records for other indirect patient care activities, i.e. quality management, external peer reviews, utilization reviews, etc.
Serves as a representative of the Health Information Management Service File Room, and may also be responsible to perform any and all activities of the file room, including but not limited to chart research and expediting, chart renovations, loose mail filing, chart retrieval, quality assurance audits on all scanning, etc.
Ensures that all necessary health/administrative information is integrated into CPRS through PC scanning
hardware and software.
Confirms information interchange by communicating with clinical and administrative team members.
Ensures all volumes are mailed to the originating location or other health care facility and that transfer forms, mailing labels, and
maintenance logs are properly completed.
Determines the urgency for requests.
Conducts follow-up activities that require tact and persistence when information isn't received in a timely manner.
Ensures accuracy and organization of information.
Files medical and administrative documentation and requests from other VA's.
Performs quality assurance audits on all facility scanning and other special projects.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/22/2024.
You may qualify based on your experience and/or education as described below:
General Experience: You must have one year of general experience equivalent to at least the next lower grade GS-03 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Scans medical documentation to the electronic health records.
Demonstrates courteous, compassionate, caring and respectful behavior when interacting with all customers, associates, in person, by email or on the telephone.
Protects computer access and follows established security procedures to prevent inappropriate or unauthorized use of computer system.
Most have excellent knowledge of computer technologies.

Physical Requirements: The work is predominately sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
