The incumbent provides administrative & reception support to Social Work Service & Homeless Programs (and other programs within the Service). The major, regular recurring duties of this position include performing a variety of clerical and administrative duties related to the operation of VA Social Work Service & Homeless Programs by providing clerical support & receiving Veterans in-person to the service and/or homeless programs and connecting them to the appropriate professional staff.
Duties
Responsible for greeting incoming visitors, looking up patient information in appropriate database or medical record, referring Veterans to Social Work staff or appropriate program in the medical center, or community agency as needed.
Phone duties include answering the phone, sending messages to appropriate staff, following up on issues raised by phone and other incoming messages.
Responsible for the full scope of clerical support, including preparing schedules, making appointments, logging and routing faxed referrals, running consult reports, and screening all incoming telephone calls and other messages for social work staff.
Responsible for maintaining and updating accurate program data into VA computer systems as directed by professional staff. This could include a homeless database, nursing home logs, or other logs or databases depending on the program.
Maintains logs and distributes service-held transit and food vouchers for Veterans as approved and directed by professional social work staff. Maintains records of all expenditures and balances and gives them to manager in charge of this service on a regular basis as determined by the manager.
Maintains inventory of office supplies and equipment and assures adequate supplies on hand through timely ordering.
On an occasional basis, receives, organizes, and accounts for donations or merchandise for Veterans, such as program cell phones, clothing, hygiene products or similar items.
Serves as a timekeeper and/or back-up for the Service.
Performs other related duties as assigned.

Physical Requirements: The work includes some walking, standing, bending and carrying light items such as paper, donations and books. Occasionally a delivery cart may be needed to transport donated items from the freight to the storage areas in the unit. No special physical demands are required. The duration of the muscular effort is likely to be no greater than 20 minutes at a time, and it is not anticipated that there would be physical strain in performing the work. This type of light physical duty would not ordinarily constitute greater than a few times a week.

Qualifications

GS-05 grade level: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Administration & Management: Knowledge of planning, coordination, and execution of business functions, resource allocation, and production. & Production and processing: Knowledge of inputs, outputs, raw materials, waste, quality control, costs, maintaining inventory, and techniques for maximizing the manufacture and distribution of goods.

Applicants may also combine education and experience to qualify at the GS-05 level. Only education in excess of the first 60 semester hours of a course of study leading to a bachelor's degree is creditable toward meeting the specialized experience requirements. Two full academic years of study, or 60 semester hours, beyond the second year is equivalent to l year of specialized experience. Determine the applicant's total qualifying experience as a percentage of the year of specialized experience required at the GS-5 level. Then determine the applicant's education as a percentage of the education that meets the requirements for GS-5. Add the two percentages. The total percentage must equal at least 100 percent to qualify an applicant for GS-5.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
