The incumbent provides technical and administrative program assistant support to the Deputy Chief of Staff - Medical Staff; Deputy Chief of Staff - Operations; Associate Chief of Staff -Quality, Safety, and Value; and Executive Assistant to the Chief of Staff in this complex, 544 bed General Medicine, Surgical and Psychiatric and Long-Term Care Medical Center with active affiliation with over 70 medical, dental and allied health teaching institutions.
Duties
Demonstrate knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others.
Performs work related to the acquisition and/or development of program information and resource materials needed to support staff.
Ability to draft correspondence, such as routine official correspondence, social and personal acknowledgments, congratulatory letters, acceptance letters, and routine office reports.
Communicate effectively with peers and superiors. Act as conduit for clear communications between Executive and direct reports.
Field and assess calls. Determine nature of the call, collect background information as needed and present to Executive regarding the call.
Maintains the Executive's daily calendar, making appointments and arranging conferences and meetings without specific prior approval, based on a knowledge of the Executive's schedule.
Uses own initiative to make arrangements for such meetings by reserving space, setting the specific time, and contacting all personnel expected to attend. Provide data or information, agenda, presentations and material as required.
Performs typing on a computer keyboard wherein the work requires competitive level proficiency in typing as well as knowledge of office hardware and software systems. Use a variety of office automation systems and various software packages to accomplish work.
Document editing; file creation, maintenance, and retrieval; use of message, calendar, and suspense tracking systems; and use of other specialized tools in support of specific functions.
Prepares a variety of narrative and statistical material, correspondence, reports, etc., in final form for Executive's signature.
Knowledge and skill to recognize the problems, collect the necessary information, establish facts, and take or recommend action based upon application or interpretation of established guidelines.
Work Schedule: Monday-Friday 7:30am-4:00pm (Subject to change based on the needs of the Agency)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Ability to independently plan and carry out the duties assigned, establishing his/her own approach to accomplishing the task within established deadlines for completion of work.
Knowledge of Microsoft Excel and/or Access software to enter data and produce reports using graphics, spreadsheets, provide database management, etc.
Knowledge of Microsoft Word software to execute several office automation functions such as storing, retrieving electronic documents and files.
Knowledge and experience in timekeeping VA Time and Attendance System (VATAS system), Personal Identity Verification (PIV) sponsorship, and Automated Data Processing Application Coordinator (ADPAC) duties.

Physical Requirements: The incumbent's work requires some walking, standing, bending and carrying light items such as books and papers.
