The incumbent will serve as a Program Support for the Mental Health Care Line (MHCL) at the Michael E. DeBakey VA Medical Center (MEDVAMC). The primary function will be to provide administrative support to the assigned program(s) in the Mental Health Care Line, supporting the operations of the Programs, Staff and Careline as a whole. Primary programmatic assignments include: General Mental Health Clinic (GMHC) and Marriage and Family Therapy (MFT).
Duties
Ability to plan, organize, coordinate and responsible for analyzing the administrative workflow and patient flow.
Responsible for recommending improvement processes in instances that the programs are not meeting required measures.
Responsible for all coordination of care in the community administrative functions.
Monitors patient access performance metrics, and works with administrative staff to ensure timely scheduling of appointments.
Oversees completion of patient care encounters, clinical reports, progress notes, and other patient care documentation according to prescribed time frames.
Reviews proposed directives to ensure proper arrangement, format, consistency with existing directives, as well as the proper distribution.
Receives visitors and telephone calls to the work area regarding medical and non-medical needs, patient appointments, and medication.
Reviews documents and reports for completeness and enters pertinent information into an automated tracking system.
Serves as a liaison to the purchasing/procurement office to arrange for, monitor, and secure equipment, services, and products.
Work Schedule: Monday-Friday 8:00am-4:30pm (Subject to change based on the needs of the Agency)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/11/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Providing clerical and administrative support to an office or program.
Experience with timekeeping.
Experience with Scheduling.
Experience with Clinic cancellations and rescheduling
Reviews documents and reports for completeness and enters pertinent information into an automated tracking system.

Physical Requirements: No special physical qualifications are required to perform the work. The work requires the ability to move around the office and clinic and requires some standing, walking, bending and carrying of light items up to 20 pounds such as office files, copy paper and supplies.
