This position is located within the Facility Management Department located in the Captain James A. Lovell Federal Health Care Center (FHCC) in North Chicago, Illinois. The Program Support Assistant provides direct assistance to the Maintenance and Repair Section of Facility Management by performing a variety of tasks, primarily utilizing the Computerized Engineering Work Order Management System.
Duties

Duties include but are not limited to the following:
Answers all telephone inquiries directed to the work order phone.
Prioritizes content of the call and notifies the appropriate shop of the situation requiring immediate action.
Provides answers to other calls concerning status of work order requests, specific shop schedules, etc.
Analyzes incoming computerized or written work orders for compliance.
Screens all work orders for completeness.
Evaluates and prioritizes all requests received (verbally or written), codes and then enters all required information into DHCP Work Order Management System.
Properly distributes work orders to assigned shop for execution of the requested work.
Monitors the work order system on a daily basis and provides each shop with status of their orders, upon request.
Generates various computerized reports.
Types general correspondence (memorandums, work schedules, timesheets, training schedules, minutes from various shop meetings, injury reports, construction specifications, etc.)
Maintains all record documents and other related materials in an orderly manner.
Acts as timekeeper for the Maintenance and Repair Section.
Performs other related duties as assigned.
Work Schedule: Monday through Friday; 8:00 a.m.- 4:30 p.m.

Qualifications
TO QUALIFY FOR THIS POSITION AT THE GS-05 LEVEL YOU MUST MEET THE FOLLOWING CRITERIA:
SPECIALIZED EXPERIENCE: Have at least one (1) year of specialized experience equivalent to the next lower grade level (GS-04) in Federal Service that has equipped you with the knowledge, skills, and abilities necessary to perform the duties of a Program Support Assistant, GS-05. Specialized experience includes: receiving and directing callers and visitors; providing information about the organization and programs; screening incoming work orders; processing work order requests; generating reports from computer programs; processing all incoming correspondence, faxes and action documents; maintaining record documents and performing office automation duties by using software applications, such as electronic mail, desk-top publishing, spreadsheets and/or databases. NOTE: Your experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

EDUCATION: Have successfully completed four (4) years above high school in any field which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained at an accredited business, secretarial or technical school, junior college, college or university NOTE: Transcripts must be submitted with your application materials. Education cannot be credited without documentation.

COMBINATION: Have an equivalent combination of successfully completed post-high school education (beyond the second year) and specialized experience, as described above, which meet the total qualification requirements for this grade level. This education must have been obtained at an accredited business, secretarial or technical school, junior college, college or university. NOTE: Your experience must be documented in your resume and transcripts are required.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: Work is primarily sedentary, allowing the employee to sit comfortably to do most of the work. Tasks performed are mentally demanding and, at times, can be stressful, particularly during emergency conditions. Occasionally, employee may be required to walk long distances to other buildings within the Federal Health Care Center (FHCC) complex to ascertain conditions when additional information is required to correctly Classify work order job tasks or preventive maintenance procedures.
