The incumbent works as a Program Support Assistant (PSA) in Social Work Service (SWS), South Texas Veterans Health Care System (STVHCS). The purpose of the position is to independently provide administrative/clerical support to SWS. To analyze data extracts, compilation, collection of reports, provides program support and administrative assistance to SWS and its programs.

Duties

Duties may include but are not limited to: Types letters, reports, memorandum, rosters, mailing lists, various meeting minutes, and other general office material. Performs work related to the acquisition/development of program information and resource materials/personnel to support the policy development or technical activities of the organization. Performs timekeeping functions; tracks, monitors and provides time and leave reports. Responsible for compilation and submission of transactions for acquisition of supplies/equipment/services as a fund control point clerk. Supports Social Work Service staff as an Automated Data Processing Application Coordinator (ADPAC) in problem solving equipment malfunction as well as acquisition of equipment related to information technology. Assists staff with travel orders, vouchers, and authorizations as an alternate travel arranger. Maintains calendars, schedules appointments/conferences, coordinates meetings between Social Work Service staff and other disciplines locally and nationally. Prepares, executes and tracks program specific information which includes, performance measures and Congressional inquiries. Uses software applications to draw information to prepare/assist in preparation of reports. Prepares, composes, or reviews correspondence for the purpose of obtaining or supplying information. Uses computer programs to type all recurring correspondence, agendas, minutes, and reports, maintaining computer files easily accessible by other team members. Utilizes MS PowerPoint, MS Publisher, or comparable software the PSA prepares materials for publications such as pamphlets, forms, graphs, or technical manuals. Resolves problems associated with the data analyses, administrative, and clerical work of the office. Provides a complete range of program support for SWS and STVHCS to include customer service coordination to meet the goals and program guidelines for Social Work and the various programs within the responsibility of the service for oversight and coordination. Acts as a liaison between patients/caregivers, STVHCS staff, serving as an advocate while maintaining patient confidentiality. Interacts with customers, family members, visitors and co-workers in a courteous, tactful, helpful manner, exercising mature judgment and diplomacy. Work Schedule: Monday - Friday 0800 to 1630 Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/11/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Basic Proficiency Requirements: In addition to meeting the experience requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. 40 words per minute typing speed You may qualify based on your experience as described below: Specialized Experience: In addition to the Basic Proficiency Requirement, you must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: 1) Receiving and directing calls, patients /visitors and provides information about the organization as well as Social Work Service and the special programs within Social Work Service; 2) Responsible for the collection, compilation, and submission of data in support of multiple local and national reports related Social Work Service and its programs; 3) Takes meeting minutes, performs timekeeping, submits transactions for supplies/equipment/services as a fund control checkpoint, assist with travel orders, vouchers, and authorizations as an alternate travel arranger; 4) Maintains calendars, schedules appointments/conferences, coordinates meetings between Social Work Service staff and other disciplines locally and nationally; and 5) Uses software applications to draw information to prepare/assist in preparation of reports. You will be rated on the following Competencies for this position: Reading Writing Computer Skills Oral Communication Reasoning and Logic Customer Service- Internal/External Interactions Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds."
