Program Support Assistant (OA) is located in the Geriatrics and Extended Care Service within the Veterans Affairs Medical Center, Louisville, Kentucky and encompasses an interdisciplinary, multifunctional array of programs and services to meet the needs of chronically-ill patients, so they may remain in their own homes. This position will serve as a Program Support Assistant under the administrative supervision of the GEC Administrative Assistant.
Duties
This position will serve as a Program Support Assistant in the Geriatrics and Extended Care Service under the administrative supervision of the GEC Administrative Assistant.Major Duties but are not limited to:
Manages database for data entry of demographic data, provider-specific clinical data, historical data, and patient-related data.
Prepares, executes, and/or tracks program specific information, such as meeting minutes, average daily census reports, FOIA requests, congressional inquiries, and contract data within the service.
Researches various publications to extract, summarize, and compile information required for the activities of the organization.
Analyze workflow to determine potential problem areas and make recommendations to correct these areas to improve coordination between the various units, offices or departments.
Uses software applications to draw information, e.g., from the Computerized Patient Record System (CPRS), Veterans Integrated Support and Information Application (Vista), Microsoft Access, Excel, and Outlook.
Edit patient records or other pertinent research and quality assessment data; retrieve patient information from other clinical/management settings and other computer systems; abstract and analyze published and unpublished documents, patient records, other pertinent research and clinical databases.
All other duties as assigned
Work Schedule: Mon-Fri 8am-4:30pm

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Typing: Must type 40 words per minute
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Providing administrative support
Collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records;
Performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information.
Making sound judgments to quickly absorb new regulations and put them into effect as required
Work with attention to detail, completeness and accuracy
Establish priorities and deadlines
Adapt to changing situations and demonstrate flexibility in changing circumstances.
