This position is located within the Engineering Service at the Dayton VA Medical Center in Dayton, OH. The Secretary (OA) performs a variety of diverse administrative and office automation duties.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Duties may include, but are not limited to the following: Utilizes computer for word-processing (Microsoft Word), electronic spreadsheets (Microsoft Excel), presentations (Microsoft PowerPoint), and electronic mail via Microsoft Outlook and Veterans Information Systems and Technology Architecture (VISTA) on a daily basis to generate correspondence, reports and other required documents. Reviews outgoing correspondence for adherence to procedural guidelines and to assure grammatical accuracy. Reviews incoming correspondence, publications, regulations and directives that may affect the Service and Medical Center. Maintains suspense on report files. Manages staff calendars and meeting management through meeting reservations, invites, agendas, and minutes for Engineering Service programs, projects, and taskforces. Coordinates and maintains the Service Chiefs calendar and schedules appointments and meetings. Takes and transcribes minutes from Engineering staff meetings. Serves as customer service representative in answering phones and general emails about Engineering Service and its work function. Receives telephone calls and visitors, screening those that can be handled without assistance. Prepares time cards for the Office of the Chief and serves as backup timekeeping for other personnel. Performs other related duties as assigned. TO QUALIFY FOR THIS POSITION AT THE GS-06 LEVEL YOU MUST MEET THE FOLLOWING CRITERIA: TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. -AND- SPECIALIZED EXPERIENCE: Possess one (1) year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has provided the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation)? Specialized experience includes: experience gained providing secretarial and/or administrative support performing duties such as: receiving incoming phone calls and correspondence; answering customers inquiries; maintaining data spreadsheets; preparing reports, memorandums and outgoing correspondence; maintaining and updating files; maintaining calendars and scheduling appointments; performing timekeeping duties; and using automated software applications such as Microsoft Office Suite (Word, Excel, and PowerPoint). NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalComplianceComputer SkillsManages and Organizes Information IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: Work primarily occurs in an office setting at a workstation and occasionally a test bench. However, there is some walking, standing, reaching, stooping, crawling, crouching, carrying of light items (25 pounds or less), and negotiating cramped working areas. The mental demands and stress of the work can be considerable. Incumbent must frequently deal with other medical center personnel or patients who may be uncooperative or hostile due to circumstantial pressures. Incumbent is required to display tact, calm and patience as well as work in an analytical, professional, and helpful manner regardless of circumstances. Trips to community-based outpatient clinics (CBOC) or other facilities may sometimes be necessary.
