This Secretary (OA) position is located in Office of the Medical Center Director in Dayton, Ohio and provides significantly sensitive and complicated administrative and coordination assignments in support of both the Associate Director for Patient Care Services (ADPCS), Deputy ADPCS and the Executive Assistant to the ADPCS, as well as provides support to the subordinate staff.

Duties

Duties of the position include but are not limited to the following: Plans and manages the executive office's schedule or day-to-day activities using standard references or information gathered through research and personal contacts. Advises the supervisor of important office issues arising during the supervisor's absence and brings significant items in reports, files and correspondence to the supervisor's attention. Assumes responsibility for ensuring that requests for action or information are made known to responsible staff that can satisfy the request. Has authority to schedule appointments meetings and conferences. ensuring that the supervisor is kept fully briefed on the matters to be considered before the scheduled event. Determines which staff should attend meetings or represent the organization at conferences. Acts as a liaison or handles the communication with persons and/or groups within and outside of the organization or office. Provides accurate advice on procedures. reports. requirements, and other matters necessary to implement the agency's policies. directives and instructions. Prepares, assists, or coordinates the release, control, and distribution of correspondence reports, briefing charts, recruitment materials, and other information. The information processed is often confidential and sensitive in nature. Uses word processing software to create or modify written documents. Utilizes a variety of software types to develop, enter, revise, sort, calculate. and retrieve information to create recurring or specialized reports Provides general office support services such as obtaining office equipment. supplies and services, or answering questions concerning policies and procedures related to office services. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday - Friday, 7:30 am to 4:00 pm Telework: This position may be authorized ad hoc telework when needed. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 08/30/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6; For a GS-8 position, you must have served 52 weeks at the GS-7 grade level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education s described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: GS-8 grade level: at least one year of specialized experience equivalent to at least the GS-7 grade level that includes: preparing a variety of personal and executive correspondence, reports, and other documents; receiving and screening telephone calls, greeting visitors; maintaining calendars for supervisors, coordinating meeting arrangements, scheduling meetings or conferences for employees, proficient typist; utilizing multiple office software to complete administrative tasks, developing office procedures providing guidance to subordinate staff on administrative, clerical, and procedural requirements etc. GS-7 grade level: at least one year of specialized experience equivalent to at least the GS-6 grade level that includes: preparing correspondence, reports, and other documents; proofreading/editing correspondence; receiving telephone calls and greeting visitors; maintaining calendars and coordinating/scheduling meetings, performing clerical work, etc. Note: For this occupation, as a general rule, education is not creditable above GS-5 grade level; however, graduate level education may be credited in those few instances where the graduate education is directly related to the work of the position. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is essentially desk oriented in an executive office setting. Work is primarily sedentary; however, some walking, standing, bending, and carrying of light objects (such as papers, books, office supplies) is required.
