Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Mail, Correspondence, and Reports: Processes incoming and outgoing materials such as correspondence, reports, memorandum, and other forms of written communication; Performs the following types of duties: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries; Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information; Researches files and assembles background information on the subject of incoming material prior to referral; Screens publications, directives, correspondence, etc., and brings items of significance from those publications to the attention of service line leadership as appropriate. Maintaining Calendars, Meetings & Travel Schedules: Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments or arranging for meeting and small conference administrative details; Schedules supervisor/staff member time based on knowledge of preferences and current commitments; Reminds supervisor/staff members of the subject matter prior to the meeting, and makes administrative arrangements as required; Prepares as necessary meeting binders for scheduled meetings and events; Maintains effective office systems (including files and report automation), travel procedures (including reservations and itinerary), and communication on special procedures. Control Point Duties: Serves as the clerk that prepares online invoices for certification; Researches online invoices, verifies the availability of funds, verifies completion of work and prepares the document for the certifying official. Office Supplies & Equipment: Purchases needed office supplies and may make other purchases under the purchase threshold that are needed to support the service; Tracks and obtains from any appropriate source supplies/equipment necessary for the different sections use; Assists with tracking of reports due to the Facility, or other offices and ensure they are submitted in a timely manner; Justifies and requests replacements for outdated equipment by identifying the outdated equipment, gathering relevant information on office equipment, or requesting office equipment for all identified work areas. Public Contact Liaison: Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures; Screens calls and personally answers calls when the requested information concerns routine and procedural requirements; Supplies the requested information as it pertains to departmental and subject matter nature such as: (status of reports, suspense dates, and request for tours). Timekeeper Duties: Serves as backup timekeeper for time and attendance; Learns and stays abreast of complex rules and regulations governing time and attendance; Assists the supervisor in assuring that all leave is properly accounted for and in accordance with applicable policies and regulations; Communicates with supervisor and human resources to obtain guidance and information that is needed to carry out these responsibilities. Work Schedule: Monday through Friday, 8:00am - 4:30pm. Recruitment & Relocation Incentives: Not authorized. Financial Disclosure Report: Not required.

Qualifications

MINIMUM QUALIFICATIONS GS-06: One year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of this position, and that is typically in or related to the position. To be creditable, specialized experience must have been equivalent to at least the GS-05 grade level in Federal service. Specialized experience includes: organizing the workflow of an office; multi-tasking to optimize time management; providing advice/consultation to management on program issues; providing oversight, guidance, and direction on regulations and policies to program staff; demonstrating written and verbal communication skills. This experience must be detailed in your resume to receive credit. You will be rated on the following Competencies as part of the assessment questionnaire for this position: Administration and ManagementClericalCustomer Service (Clerical/Technical) IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary. Typically, the Secretary may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
