Secretary serves as the principal office assistant to the Service Chief of Physical Medicine and Rehabilitation Service (PRMS ) at the Miami VA Medical center. The secretary is responsible for coordinating and monitoring all information involved in the credentialing, privileging, licensing, and track continuing education for doctorial staff.
Duties
Duties include but are not limited to:
Receive visitors and telephone calls to the Chief's office /PM&R Administrative Officer.
Assist patients/staff who come to office wanting copies of handouts or further assistance.
Compile information and data for presentation of reports requiring the signature of the service chief.
Fulfill request for information about functions vital to PM&R and independently provide responses from source material.
Operate and maintain the budget allotted to pay PM&R monthly bills to vendors, and statistical data provided on discharged patients.
Determine the budget needs for each fiscal year and inventory control of CMR equipment in accordance with Logistics regulations.
Take necessary action where applicable to those requiring the personal attention of the Chief and Administration Officer.
Coordinate necessary material and information under supervision of the Chief PM&R checking for correct grammatical usage and prepare folders for filing related material necessary.
Enter corrected timecard as needed and when advised by payroll.
Work and collaborate with IT/CWT Workers / Work Study and or Volunteers.
Coordinate request for supply items and prepare justification for requested.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/02/2024.
Typing Requirement: This position requires a typing requirement of 40 words per minute.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receiving telephone calls and visitors; Scheduling appointments; Meeting coordination; Maintaining calendar activities; Preparing correspondence, reports, and other documents; Typing memorandums, letters, reports, roster, mailing lists and other general office material, including confidential matters; Using proper grammar, spelling, capitalization, punctuation, and commonly used terminology to prepare written material correctly; Timekeeping; Ordering and maintaining supplies, and equipment for the service; Utilizing computer technology.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work requires regular and recurring physical exertion maintaining a seating position in conference area for meetings or at a computer workstation/desk for conducting administrative work. Entering data via keyboard and writing notes manually is also expected. Requires some walking, standing, bending and the carrying of light items such as books and papers.
