This position is organizationally aligned to the Office of the Director located at the Edward Hines, Jr. Veterans Healthcare System in Hines, IL, and will serve as an Executive Assistant to the Executive Leadership Team.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Duties will include, but may not be limited to the following: Provides administrative support and collaboration with leadership, to include assists with organizational, functional, and staffing charts, budget, overtime requests, incentive awards, fund control point, inventory, and the like. Receives and screens visitors and telephone calls, i.e., identity, purpose of contact, and relative importance in relation to availability of staff members. Prepares/processes recruitment and interview activities, clinic profiles/set-ups, data management, retrieval and validation, employee records/files, orientation of new staff, and serves as timekeeping official for time and attendance. Manages schedules, makes appointments, and coordinates meetings and conferences for executive leadership team, prepares agendas, and records notes/minutes of meetings, and makes travel arrangements. Assists in developing staff training plans and advises employees of training opportunities. Develops and coordinates internal review systems to ensure both clinical and administrative activities comply with agency requirements. This will include the review, analysis, and interpret incoming requests, recommend actions or alternatives based on knowledge of administrative operations, policies, budgetary constraints, and work priorities. Assesses the productivity, effectiveness, and efficiency to analyze, resolve problems, and provide recommendations to leadership in workflow, administrative support functions, and staff productivity and activities. SELECTIVE PLACEMENT FACTOR (SCREEN-OUT) - A Selective Placement Factor (SPF) has been identified for this position. Selective Placement Factors (SPF) are a prerequisite to appointment and represent minimum requirements for the position. Applicants who do not meet the SPF are ineligible for further consideration. The SPF for this position is: Experience conducting evaluations of healthcare administrative operations, includes data management (i.e., collection, analysis, reporting) and budgeting activities. SPECIALIZED EXPERIENCE: Requires one full year of specialized experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level in the normal line of progression for the occupation in the organization. Specialized experience includes managing schedules, making appointments, and coordinating meetings and conferences, preparing agendas, and recording meeting minutes; preparing a variety of correspondence, memorandums, reports, including statistical reports; and assisting in development of human resources activities (e.g., recruitment, interviews, performance plans, staff training plans, etc.). -OR- SUBSTITUTION OF EDUCATION FOR EXPERIENCE (TRANSCRIPT REQUIRED): Successfully completed2 years of progressively higher-level graduate education leading to a master's degree or master's or equivalent graduate degree. -OR- COMBINATION OF EDUCATION AND EXPERIENCE (TRANSCRIPT REQUIRED): Equivalent combinations of successfully completed graduate level education (in excess of 1 year) combined with specialized experience may be used to meet total experience requirements. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. PHYSICAL REQUIREMENTS: The work is primarily sedentary, although some slight physical effort may be required, which may include walking distances between buildings, carrying/lifting small or lightweight office type equipment (e.g., copy machine, fax machine, telephones, audiovisual equipment, conference call equipment, personal computers, scanners, printers). Employee has contact with others face-to-face, written, electronic mail, and telephone.
